The Human Resource Officer is responsible for managing payroll processes, maintaining accurate employee records, and ensuring compliance with statutory and labour requirements. The role supports overall HR operations by handling employee information, salary administration, and regulatory reporting in a timely and accurate manner.
Key Responsibilities
1. Payroll Processing
Process monthly salaries accurately and on time
Gather and verify all relevant payroll documentation
Back up previous month’s payroll records and prepare current month processing
Process earnings including salaries, commissions, and bonuses
Manage deductions such as pension, loans, garnishees, petrol, and cellphone costs
Generate and distribute payslips and payroll reports
2. Employee Information Management
Capture new employees and remove terminated staff
Update and maintain employee personal records
Process changes to employee information and tax directives
3. Journals & Reconciliations
Prepare and reconcile salary journals and payroll accounts
Perform reconciliations for PAYE, UIF, pension funds, and staff loans
Maintain salary clearing account and statutory reconciliations
Handle commission accruals and reversals
Reconcile provisions such as Skills Levy and Workman’s Compensation
4. Statutory Compliance & Returns
Submit monthly statutory returns including PAYE, UIF, and Skills Development Levy
Ensure compliance with all relevant labour and tax regulations
Process pension fund contributions and related documentation
5. Labour & HR Administration
Manage Workman’s Compensation claims and payments
Complete and submit Employment Equity reports
Handle general labour-related documentation and compliance requirements
6. General HR Duties
Maintain up-to-date employee records and filing systems
Respond to HR-related queries from employees
Verify employment contracts for accuracy and completeness
Ensure proper authorization of leave forms
Assist with BEE questionnaires and reporting
Ensure all HR and payroll deadlines are consistently met

Candidate Requirements
Key RequirementsQualifications
Diploma or Degree in Human Resources, Payroll, or related field
Experience
Proven experience in payroll processing and HR administration
Experience with statutory returns and compliance
Skills
Strong numerical and analytical skills
Attention to detail and accuracy
Knowledge of payroll systems and HR practices
Good communication and organizational skills
Ability to handle confidential information
Other Requirements
Knowledge of South African labour laws and statutory regulations
Ability to meet strict deadlines
