Job Brief
As our IT department continues to grow, we are seeking an organised and proactive individual to manage administrative responsibilities and contribute to the team's efficient operation.
Responsibilities
- Document and prioritise IT issues submitted through the IT mailbox, assigning each request to the appropriate team member for investigation and resolution.
- Maintain audit files and documentation, ensuring all records are accurate, complete, and up to date.
- Organise and file all departmental documentation and correspondence in accordance with established procedures.
- Serve as the primary liaison between the IT department and third-party contractors, following up on logged issues and providing timely feedback to relevant stakeholders.
- Engage with department heads, branch managers and Online Sales customers to verify issue resolution, ensuring a high standard of service, and communicate outcomes to the IT Manager.
Required Skills
- Administration: 2 to 3 years
- It Help Desk: 1 to 2 years
Candidate Requirements
Ideal Requirements for the Perfect Candidate
- Grade 12 (Matric) or equivalent qualification.
- Minimum 2–3 years' experience in an administrative, coordination, or customer service role.
- Experience working within an IT department or IT support environment will be advantageous.
- Proficient in Microsoft Office Suite, particularly Outlook, Word, Excel, and Teams.
- Excellent verbal and written communication skills.
- Strong organisational and time-management abilities.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- High level of attention to detail and accuracy.
- Professional and customer-focused approach when dealing with internal and external stakeholders.
Preferred Skills and Competencies
- Experience with helpdesk or ticketing systems.
- Understanding of basic IT terminology and support processes.
- Ability to coordinate and follow up on multiple support requests simultaneously.
- Strong problem-solving and analytical skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Self-motivated with the ability to work independently and as part of a team.
- Strong interpersonal skills and the ability to build effective working relationships with employees, customers, and third-party service providers.
- Proactive approach to identifying and resolving administrative bottlenecks.
