Administrator / PA and Debtors Clerk - GeorgeWe are seeking a highly organised and detail-oriented Administrator / Personal Assistant / Debtors Clerk to support the daily operations of a busy bearing and industrial supply company. The successful candidate will manage administrative functions, provide personal assistant support to management, and oversee debtor accounts to ensure efficient cash flow and customer account management. The ideal candidate must be professional, proactive, able to multitask effectively, and comfortable working in a fast-paced technical sales environment.Key Responsibilities and duties include but not limited to:-Key ResponsibilitiesAdministration DutiesManage general office administration and filing systemsMaintain customer and supplier recordsAssist with stock administration and order trackingHandle email correspondence and office communicationEnsure office supplies and stationery are maintainedSupport sales and operations teams with administrative tasksResponsible for all office consumables and stationeryOversee cleaning staffPersonal Assistant DutiesManage diaries, appointments, and meetings for managementPrepare reports, presentations, and documents when requiredArrange travel bookings and accommodation if neededTake meeting minutes and follow up on action itemsAssist management with confidential administrative mattersScreen calls and prioritise urgent mattersResponsible for ordering staff clothing and promotional itemsDebtors / Accounts DutiesMaintain debtor accounts and customer statementsEnsure timeous collection of outstanding moniesFollow up on outstanding payments professionally and timeouslyPerform account reconciliationsAllocate customer payments accuratelyResolve account queries and discrepanciesPrepare weekly age analysis reportsEnsure compliance with company credit control proceduresLiaise with customers regarding payment arrangementsAssist with month-end finance administration
Minimum Requirements
  • Grade 12 / Matric
  • Relevant administration or bookkeeping qualification advantageous
  • Minimum 3–5 years’ experience in administration and debtors
  • Previous experience in an industrial, engineering, or bearing environment advantageous
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Fluent in English and Afrikaans
  • Experience with accounting systems (Pastel, Sage, Syspro, or similar) advantageous
  • Strong communication and organisational skills
  • Ability to work independently and under pressure
  • High level of accuracy and attention to detail
  • Professional telephone etiquette
