The Executive Secretariat Assistant provides comprehensive administrative and strategic support to the Secretariat of a pension fund and its associated company. Candidate Requirements
KEY RESPONSIBILITIES
- Offer high-level administrative support to the Executive Secretariat, including diary management, correspondence, scheduling meetings, and minute-taking.
- Coordinate the preparation, collation, and distribution of board and committee meeting agendas, documentation, and resolutions, ensuring all materials are legally compliant and delivered in a timely manner.
- Liaise between the board, senior management, trustees, and external advisers to facilitate clear and effective communication.
- Maintain statutory registers and records, filing returns and disclosures as required by pension fund regulations and relevant company law.
- Draft, review, and proofread legal documents, reports, and policies, ensuring accuracy and compliance with regulatory frameworks.
- Monitor changes in relevant legislation and the regulatory environment, providing proactive advice to the Secretariat and board on governance implications.
- Assist in managing risk, ethics, and compliance processes, including conflict of interest and fit-and-proper procedures.
- Handle confidential information with discretion and demonstrate sound judgment in all matters.
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in Law (LLB) or equivalent legal qualification essential.
- Minimum of 5 years’ relevant experience, preferably within pension funds, financial services, or the corporate secretariat of a regulated entity.
- Sound understanding of corporate governance, pension fund legislation, and company law.
- Proficient in board management software and standard office applications.
- Exceptional verbal and written communication skills.
- Meticulous attention to detail and a proactive, solutions-focused approach.
