Employer: Consolidated Retirement Fund for Local Government

The Executive Secretariat Assistant provides comprehensive administrative and strategic support to the Secretariat of a pension fund and its associated company. This role is pivotal in ensuring effective governance, regulatory compliance, and seamless communication between the board, management, members, and external stakeholders. The ideal candidate will possess a formal legal qualification and at least five years of relevant professional experience, bringing expertise in legal and corporate administration within a regulated environment.

Candidate Requirements

KEY RESPONSIBILITIES

  • Offer high-level administrative support to the Executive Secretariat, including diary management, correspondence, scheduling meetings, and minute-taking.
  • Coordinate the preparation, collation, and distribution of board and committee meeting agendas, documentation, and resolutions, ensuring all materials are legally compliant and delivered in a timely manner.
  • Liaise between the board, senior management, trustees, and external advisers to facilitate clear and effective communication.
  • Maintain statutory registers and records, filing returns and disclosures as required by pension fund regulations and relevant company law.
  • Draft, review, and proofread legal documents, reports, and policies, ensuring accuracy and compliance with regulatory frameworks.
  • Monitor changes in relevant legislation and the regulatory environment, providing proactive advice to the Secretariat and board on governance implications.
  • Assist in managing risk, ethics, and compliance processes, including conflict of interest and fit-and-proper procedures.
  • Handle confidential information with discretion and demonstrate sound judgment in all matters.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in Law (LLB) or equivalent legal qualification essential. 
  • Minimum of 5 years’ relevant experience, preferably within pension funds, financial services, or the corporate secretariat of a regulated entity. 
  • Sound understanding of corporate governance, pension fund legislation, and company law.
  • Proficient in board management software and standard office applications.
  • Exceptional verbal and written communication skills.
  • Meticulous attention to detail and a proactive, solutions-focused approach.
