The Leasing Administrator plays a critical support role within the regional leasing function, providing administrative and coordination support for two Leasing Consultants.
Key Responsibilities
Leasing Administration & Coordination
Support Leasing Consultants and Property Managers with day-to-day leasing administration
•
- Gather, verify, and compile all required documentation for lease applications prior to submission to head office
- •
- Ensure completeness and accuracy of FICA documentation and supporting lease information
- •
- Submit fully compliant application packs to head office for lease generation, vetting, and affordability assessments
- •
- Assist with lease renewals, including preparation, follow-ups, and tracking if and when required
Lead Management & Communication
- •
- Answer incoming leasing enquiries and log all leads accurately
- •
- Distribute and track leads to Leasing Consultants
- •
- Follow up with prospective tenants to ensure progression of deals
- •
- Maintain professional and timely communication with tenants, brokers, and internal stakeholders
Data & Systems Management
- •
- Maintain and update leasing trackers and reporting tools
- •
- Ensure vacancy schedules are accurate and up to date
- •
- Update and maintain broker contact databases
- •
- Monitor and update online listings to ensure accuracy and consistency across platforms
Broker & Marketing Support
- •
- Assist with the coordination and organisation of broker events and engagements
- •
- Support broker relationship management through accurate record-keeping and communication
General Leasing Support
- •
- Conduct regular checks on listing performance and flag issues
- •
- Provide administrative support across leasing activities as required
- •
- Assist with ad hoc leasing and portfolio-related tasks from time to time

Candidate Requirements
- Degree in Property Studies, Finance, Business or related field beneficial
- Previous experience in property administration, leasing, or similar roles advantageous
- Familiarity with leasing processes, FICA requirements, and tenant onboarding preferred
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with MDA / MRI Property Management software
- This is a fully office-based role
- The role requires close collaboration with both regional teams and head office
- The position may evolve to include additional leasing-related responsibilities as required
- Accuracy and completeness of leasing documentation submitted to head office
- Turnaround time on application preparation and submission
- Lead response and follow-up efficiency
- Accuracy and upkeep of leasing trackers and vacancy schedules
- Quality and consistency of data across systems and listings
