The purpose of this role is to manage the day-to-day operations of the Stores Packaging area within the Stores department, ensuring the efficient receipt, storage and dispatching of the packaging.

The successful candidate needs to ensure efficient inventory control, compliance with FSSC 22000 food safety standards, and effective supervision of store personnel while maintaining high standards of health, safety, and housekeeping.

KEY RESPONSIBILITIES:

Inventory Management

  • Manage and coordinate the receipt, storage and dispatching of packaging material within the stores department to ensure timely and accurate order fulfilment.
  • Ensure the packaging are clean and organized according to company guidelines.
  • Ensure efficient space utilization.
  • Ensure and maintain accurate packaging inventory levels by conducting regular cycle counts and reconciliation with the inventory management system.
  • Minimize obsolete Packaging material in line with FSSC 22000 requirements.
  • Ensure that staff adhere to the FIFO and FEFO principles.
  • Investigate and resolve any packaging discrepancies or issues related to inventory, deliveries, or store operations.
  • Manage the return of deposit items to respective suppliers
  • Ensure that correct quantities of packaging are timeously dispatched physically and on the ERP system to the different departments for production processes.

Document control and compliance

  • o
  • Implement, and maintain an effective document control system that complies with FSSC 22000 requirements.
  • o
  • Ensure all records related to packaging within stores operations (e.g., receiving documentation, inventory records, dispatch documentation,) are accurately maintained, up-to-date, and easily retrievable.

  • Regularly review and update Standard Operating Procedures (SOPs) to ensure SOP’s reflect current practices and comply with food safety standards.
  • o
  • Coordinate with the Quality Assurance team to ensure that all documentation meets internal and external audit requirements.
  • o
  • Take part in the preparation for internal and external audits.
  • o Train staff within the stores packaging area on the importance of accurate record-keeping and document control in relation to food safety.

Staff Management

  • Manage employee relations within the stores packaging area, ensuring adherence to company policies and procedures.
  • o
  • Serve as the primary point of contact for employee concerns, grievances, and disciplinary actions, ensuring that they are handled in accordance with company policy and legal requirements
  • o
  • Plan, organize, and control the day-to-day activities for the team within the stores packaging area.
  • o
  • Conduct performance reviews, set goals, and provide feedback to stores staff on their performance.
  • o
  • Manage staffing levels to meet operational requirements, including hiring and training new employees.
  • o
  • Conduct regular training sessions with staff on stores operating procedures.
  • o
  • Foster a positive work environment that encourages teamwork, accountability, and continuous improvement.

Health and Safety

  • Ensure that the stores packaging area comply with health and safety regulations.
  • o
  • Take part in regular safety audits and risk assessments and implement corrective actions as necessary.
  • o
  • Ensure that staff are trained on health and Safety policies and procedures.
  • o
  • Ensure the stores department operates in accordance with health and safety regulations in line with FSSC 22000 requirements.
  • o
  • Ensure compliance with all relevant legal and company standards, including environmental regulations.

  • Lead initiatives to promote a safe working environment and reduce workplace accidents.

Communication and Coordination

  • Coordinate with other departments to ensure smooth operations and resolve any issues that arise.

  • Provide regular updates and reports to senior management on stores packaging area.

Required Skills

  • Inventory Management: 4 to 5 years
  • Staff Management: 4 to 5 years
  • Document Control: 4 to 5 years
  • Health & Safety Risk Management Development: 4 to 5 years

Candidate Requirements

    MINIMUM REQUIREMENTS:

    1. Grade 12 (Matric); Diploma/Degree in Supply Chain, Logistics, or related field advantageous.
    2. Minimum 3–5 years’ experience in inventory management, preferably in a FMCG environment.
    3. Strong knowledge of FSSC 22000, GMP, and food safety practices.
    4. Experience with inventory management systems (ERP/WMS).
    5. Proficiency in Microsoft Office.
    6. Good understanding of stock control principles (FIFO/FEFO).
    7. Valid Driver’s License

    KEY COMPETENCIES:

    1. Excellent verbal and written communication skills, with the ability to liaise effectively across departments.
    2. Ability to identify issues quickly and implement effective solutions.
    3. High level of accuracy and attention to detail.
    4. Ability to make informed decisions quickly and effectively.
    5. Adaptability to changes in the FMCG environment and ability to manage multiple priorities.
