Employer: Career Circuit

The purpose of this role is to manage Key Account relationships and oversee the Online Intelligence system, ensuring the accurate and timely delivery of incident reports and statistical trend analysis to clients. The role further ensures financial and data integrity through effective budget management, month-end reconciliations, and the maintenance of high-quality technical documentation. Additionally, it supports business growth and compliance by contributing to tender processes, standardising ISO 9001:2015 documentation, and providing proactive team support to achieve departmental objectives.

Key Responsibilities

Client Relations

  • Develop a thorough understanding of client needs and adjust functions accordingly
  • Respond to client requests in a professional, efficient, and timely manner
  • Build and maintain strong client relationships
  • Prepare presentations, proposals, plans, and statistical reports
  • Expand relationships by proposing solutions aligned to client objectives

Statistical Trend Analysis

  • Analyse data and trends to produce reports, charts, graphs, and visual insights
  • Verify accuracy and completeness of profiling data (suspects, vehicles, businesses, etc.)
  • Communicate trends and insights (e.g. hotspots, patterns, modus operandi) to stakeholders

Online Intelligence System Management

  • Capture all incidents, court progress, profiling, and link analysis daily
  • Ensure accuracy of technical data (CAS numbers, SAP references, images, etc.)
  • Perform quality checks on all reports (grammar, formatting, completeness)
  • Compile and distribute daily comprehensive reports
  • Produce monthly executive reports with trend analysis
  • Ensure availability for reporting over weekends when required
  • Deliver ad hoc reports as requested

Month-End Coordination & Budget Control

  • Collect and verify month-end documentation (logs, mileage, timesheets, court reports)
  • Ensure alignment between documentation and payroll records
  • Maintain and track budget projections
  • Capture and submit client financial data to the Financial Administrator
  • Reconcile documentation for invoicing
  • Ensure timely distribution of invoices and supporting documents

Operational Compliance & Administration

  • Standardise documentation in line with ISO 9001:2015 requirements
  • Communicate critical operational issues promptly
  • Maintain professional and ethical conduct
  • Resolve internal and external conflicts effectively
  • Execute instructions from management within deadlines
  • Provide operational support during staff absences or peak periods

Tender Documentation & Quotations

  • Attend meetings to support tender requirements
  • Prepare business proposals and tender documentation
  • Compile quotations for new and existing clients
  • Review all documentation for accuracy (grammar, formatting, completeness)

Candidate Requirements

Qualifications & Experience

  • Matric (Grade 12) or equivalent (NQF Level 4)
  • Minimum 3 years’ proven experience within a Financial / Key Accounts / Criminology environment
  • Degree (NQF Level 7) in Business Management, Finance, Criminology, or related field

Skills & Knowledge

  • Knowledge or experience with Analyst’s Notebook, iBase, and Online Intelligence systems (advantageous)
  • Strong computer literacy (MS Excel, Word, PowerPoint, Outlook) including data analysis and reporting (pivot tables, trends, etc.)
  • Fluent in English (written and verbal); Afrikaans will be advantageous
  • Strong analytical and trend analysis skills
  • Attention to detail with strong reporting and documentation ability
