Are you a highly organised administrator with experience supporting service operations across multiple sites?

We’re looking for a structured, detail-oriented and highly experienced HVAC Regional Service Administrator to support service delivery across multiple regions. This role is critical in ensuring that all administrative, reporting, and compliance functions are executed accurately and on time to support operational teams and client requirements.

WHAT YOU’LL BE DOING (KEY RESPONSIBILITIES)

  • Provide administrative support to regional service operations across multiple sites.
  • Manage job cards, service reports, and maintenance documentation.
  • Track planned maintenance schedules and ensure all records are updated.
  • Support SLA compliance through accurate record keeping and reporting.
  • Compile and submit monthly service and operational reports.
  • Coordinate technician schedules, job allocations, and service documentation.
  • Maintain compliance records including H&S documentation and client requirements.
  • Liaise with internal teams, clients, and subcontractors.
  • Monitor outstanding jobs, follow-ups, and service completion.
  • Ensure all systems and databases are accurate and up to date.

 

WHAT YOU NEED TO SUCCEED

Experience

  • 3–5 years’ experience in a service administration or operations support role.
  • Experience supporting multiple sites or regions.
  • Exposure to SLA-driven environments.

 

Qualifications

  • Matric / Grade 12
  • Valid Driver’s Licence
  • Diploma in Administration / Business / Project Management (advantageous)

 

Skills and Knowledge

  • Strong administrative and organisational skills
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office (Excel essential)
  • Ability to manage multiple priorities
  • Strong communication and coordination ability
  • Experience with job tracking / service systems (advantageous).
