We are seeking a highly organised and proactive Personal Assistant to support a Senior Financial Advisor in managing daily administrative, client service, and operational responsibilities. This role is ideal for someone who is detail-oriented, client-focused, and able to work in a fast-paced, professional environment.
Administrative Support
- Manage and maintain the advisor’s diary, appointments, and meetings
- Handle incoming calls, emails, and correspondence professionally
- Prepare meeting packs, reports, and client documentation
- Maintain accurate filing systems (electronic and physical)
Client Service
- Act as the first point of contact for clients
- Schedule client reviews and follow-ups
- Assist with onboarding new clients (FICA documentation, forms, etc.)
- Ensure a high standard of client communication and service delivery
Operational & Compliance Support
- Assist with preparation and submission of applications and policy documentation
- Ensure compliance with regulatory and company requirements
- Liaise with product providers, administrators, and internal teams
- Track outstanding requirements and follow up on pending business
Candidate Requirements
Requirements
- Proven experience as a Personal Assistant, Administrator, or similar role (preferably in financial services)
- Strong organisational and time management skills
- Excellent verbal and written communication skills
- High attention to detail and accuracy
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to handle confidential information with discretion
Qualifications
- Matric (Grade 12) essential
- Relevant diploma or certification in administration, finance, or related field (advantageous)
