CONDENSED LIST OF DUTIES:
Operating the switchboard
Screening and making telephone calls / handle queries by directing them to the correct staff.
Preparing and distribution of agendas, minutes, memos, letters and invoices.
Faxing and photocopying for the office.
Ordering of stationery.
Screening of calls and taking messages.
Receiving and distributing mail.
Receiving contributions in a form of cheques from companies and issuing receipts as proof of payment.
Reconciling petty cash report, invoices and submit to accounts department for payment.
Compiling monthly MDC reports (i.e. company visits from action plans).
Source new suppliers for office equipment.
Scheduling Service Providers on site and arranging access for MDC.
Any other duties assigned by management. (e.g. receiving members’ applications when office is very busy)

Candidate Requirements
MINIMUM REQUIREMENTS:Grade 12
Good attendance record and reliability
BASIC WORK EXPERIENCE REQUIRED:
Minimum of 2 -3 years Admin / secretarial experience.
Typing (40wpm)
KNOWLEDGE AND SKILLS:
Computer literate including internet research / PowerPoint presentations / Outlook).
Minute taking skills.
Good communication (written & verbal) and interpersonal skills.
Good administration and typing skills.
Planning and Organising.
Customer services oriented with telephone etiquette.
Ability to analyse and interpret information and solve problems.
Attention to detail.
Trustworthy, honesty and integrity.
Be an excellent team player.
