💼Administrative Operations Assistant (Operations & Payroll Support)

Our client is looking for a highly organized and professional Administrative Operations Assistant to support daily operations within a fast-paced construction environment. This role plays a critical part in ensuring seamless communication, accurate record-keeping, and efficient payroll and administrative processes.

 

📍Location: Maitland, Cape Town
💰Salary: R16,000 – R18,000
🕰️Working Hours: Monday – Thursday 07:30 – 17:00 | Friday 07:30 – 14:30
🪑Available Positions: 1
📅Start Date: As soon as possible

Key Responsibilities:
· Reception & Communication: Handle incoming calls and manage professional telephonic and email communication with clients and consultants.
· Administrative Support: Maintain accurate records of jobs, including start dates, completion dates, and any irregular occurrences.
· Manage daily work diaries and ensure all documentation is up to date.
· Payroll Support: Capture employee working hours and input data into payroll systems.
· Generate and distribute payslips accurately and timeously.
· Operations Coordination: Send quotations, follow up on approvals, and manage job acceptances.
· Coordinate communication regarding project start dates, site duration, and completion updates.
· Financial Administration: Send invoices accurately and on time.
· Capture basic financial data on QuickBooks.
· Resource Allocation: Allocate workers according to job acceptances and operational needs.
· Office Management: Ensure effective time management and smooth daily office operations.

Job Requirements:
· National Senior Certificate.
· Minimum of 3-5 years’ relevant administrative experience.
· Experience with payroll processing and basic financial capturing.
· Experience working in a fast-paced operational or construction environment.
· Strong proficiency in Microsoft Office 365 (especially Excel).
· Experience working on QuickBooks is advantageous.
· Excellent verbal and written communication skills.
· Own reliable transport.
· Ability to work effectively in a team within an open-plan office environment.

Ons kliënt is op soek na ’n hoogs georganiseerde en professionele Administratiewe Operasionele Assistent om daaglikse bedrywighede binne ’n vinnige konstruksie-omgewing te ondersteun. Hierdie rol speel ’n kritieke rol in die versekering van gladde kommunikasie, akkurate rekordhouding en doeltreffende salaris- en administratiewe prosesse.

📍Ligging: Maitland, Kaapstad

Ons kliënt se maatskappy funksioneer binne die konstruksie-, toesig- en arbeidsbedryf en lewer betroubare en doeltreffende dienste in ’n dinamiese en veeleisende omgewing. Die besigheid plaas ’n sterk fokus op operasionele uitnemendheid, akkuraatheid en hoë etiese standaarde, terwyl samewerking tussen spanne, kliënte en konsultante bevorder word.

Hoof Verantwoordelikhede:
· Ontvangs & Kommunikasie: Hanteer inkomende oproepe en bestuur professionele telefoniese en e-pos kommunikasie met kliënte en konsultante.
· Administratiewe Ondersteuning: Handhaaf akkurate rekords van projekte, insluitend begindatums, voltooiingsdatums en enige onreëlmatighede.
· Bestuur daaglikse werkdagboeke en verseker dat dokumentasie op datum is.
· Salarisadministrasie: Vang werknemers se werksure vas en voer data in salarissisteme in.
· Genereer en versprei betaalstrokies akkuraat en betyds.
· Operasionele Koördinering: Stuur kwotasies uit, volg op goedkeurings en bestuur werkaanvaardings.
· Koördineer kommunikasie rakende projekbegindatums, duur op terrein en voltooiing.
· Finansiële Administrasie: Stuur fakture akkuraat en betyds uit.
· Voer basiese finansiële data op QuickBooks in.
· Ken werkers toe volgens werkaanvaardings en operasionele behoeftes.
· Kantoorbestuur: Verseker effektiewe tydsbestuur en gladde daaglikse kantoorbedrywighede.

Pos Vereistes:
· Nasionale Senior Sertifikaat (Graad 12).
· Minimum van 3-5 jaar relevante administratiewe ondervinding.
· Ondervinding met "payroll" salarisverwerking en basiese finansiële vaslegging.
· Ondervinding in ’n vinnige operasionele of konstruksie-omgewing.
· Sterk vaardighede in Microsoft Office 365 (veral Excel).
· Ondervinding met QuickBooks is voordelig.
· Uitstekende verbale en geskrewe kommunikasievaardighede.
· Eie betroubare vervoer.
· Vermoë om effektief binne ’n span in ’n oopplan kantoor te werk.
