PRIMARY PURPOSE

Join our dynamic team as an Operations Specialist, where you will play a crucial role in the booking process. You will support our travel designers and serve as the first line of communication with suppliers, ensuring that every booking is managed accurately, efficiently, and without errors.

KEY RESPONSIBILITIES:

• Liaise with travel designers on all operational booking requirements
• Maintain continuous communication with suppliers and internal sales support teams
• Contact suppliers for availability and ensure all rates and services are accurately loaded
• Cross-check suppliers quotes and advise rate and product discrepancies
• Stay updated on product and technology changes through weekly training.
• Manage the operational booking dashboard and clear tasks promptly
• Ensure all special requests are obtained, verified and entered into the booking system
• Ensure all services lines are accurately loaded and confirmed
• Review supplier confirmations and invoices for discrepancies and ensure timely payments
• Reconfirm services 90 days prior to travel
• Flag VIP guests and ensure special needs protocols are followed
• Maintain full booking files, ensuring all documents are stored and updated
• Produce accurate document packs and travel itineraries
• Provide proactive feedback to properties during guest travel

SKILL SET, QUALIFICATIONS AND EXPERIENCE:

• Excellent communication skills (written and verbal)
• Methodical and organised work style
• Minimum 2 years experience in a Tour Operator Industry
• Strong team player with a service-oriented mindset
• Ability to work under pressure while maintaining accuracy
• Good follow-up skills and a consistent approach to quality output
• Professional demeanour in all interactions
