About the Role
We are seeking a Dispatch Supervisor to oversee and coordinate daily dispatch operations within a fast-paced warehouse environment. This role is responsible for ensuring that all orders are accurately picked, packed, and dispatched within agreed timelines, while maintaining high standards of customer service, operational efficiency, and compliance.
The successful candidate will supervise dispatch staff, manage workflow and productivity, and ensure adherence to service level agreements, safety standards, and company procedures.
Key Responsibilities
Dispatch & Operational Management
- Oversee and coordinate daily dispatch activities to ensure required volumes are achieved within agreed timelines
- Ensure all orders are picked, packed, and dispatched accurately and timeously
- Maintain a minimum of 99% dispatch accuracy with zero damage tolerance
- Ensure availability of required packing materials and production stationery
- Act as key-holder, responsible for opening and securing the warehouse as per schedule
Customer Service
- Resolve escalated internal and external customer queries efficiently
- Ensure all customer queries are addressed within 24 hours
- Maintain high levels of customer service and satisfaction
SLA & Compliance Management
- Ensure all dispatch activities comply with current SLAs and relevant legislation (including DG requirements)
- Monitor operational performance and address any deviations proactively
- Ensure daily dispatch volume targets are achieved in line with operational requirements
- Ensure compliance with Dangerous Goods (DG) handling and dispatch regulations where applicable
Inventory & Risk Control
- Minimise stock losses through effective controls and processes
- Conduct and manage stock takes and cycle counts
- Investigate and resolve discrepancies
Housekeeping, Health & Safety
- Maintain a safe, clean, and organised working environment
- Ensure full compliance with OHASA standards
- Promote and enforce safe working practices within the team
Supervision & People Management
- Supervise and manage warehouse assistants and dispatch staff
- Ensure all team members are trained and competent in their roles
- Conduct performance reviews and manage staff performance
- Manage overtime in line with budget and operational requirements
Administration & Reporting
- Ensure all dispatch documentation is accurate and completed correctly
- Maintain proper records for audit and compliance purposes
- Provide updates to management on operational performance and issues
- Ensure availability and control of production stationery
Qualifications
- Matric (Grade 12)
Experience Required
- Minimum 2 years’ supervisory experience within a warehouse or dispatch environment
- Proven experience managing operational workflows and team performance
Technical Skills
- Warehouse and dispatch operations
- Inventory control and stock management
- SLA adherence and operational tracking
- Understanding of health & safety (OHASA) requirements
