Purpose of the job

To provide Administrative support to the Human Capital (HC) department team members.  This role will act as first point of contact for HC related queries from employees as well as other external stakeholders. This role is responsible for handlinge various administrative tasks and for maintaining accurate employee records, including HC system administration.

Key Outputs

1.HC Administration support    

  • HC systems administration and business support
  • Leave administration
  • Recruitment administration
  • Manage the employee onboarding and offboarding processes and reporting
  • Create and maintain employee files on the various systems 
  • Assist with the employee engagement and employee termination process
  • Act as the custodian of the HC information system
  • Upload and terminate employees on the HC information system
  • Maintain and update employee records on the system
  • Deal directly with the service provider on all system related issues and ensure they are resolved timeously 
  • Draft HC communication to staff as and when required
  • Maintain the Organogram 
  • Schedule and keep record of  Stakeholder Meetings (wellness , business engagement meetings)

2.Financial Administration

  • Monitoring of budget spend for the allocated areas
  • Adherence to finance policies and procedures
  • Engage with external stakeholders with regards to any financial / account queries
  • Create purchase requisitions and purchase orders
  • Reconciliation of invoices and filling out payments request using proper coding.
  • Follow up and ensure that suppliers are being paid on time and no interest incurred.
  • Provide financial reports

3. HC Audit Admnistration

  • To be the point of contact with regards to both internal and external audits
  • To source and supply the required documentation needed by the auditors 
  • To quality check all the sourced documents requested to ensure that they are in line with policy and process, if not, inform the relevant HC business owner

4. Employee Wellness Administration and support

  • Coordinate Employee wellness programme interventions  (virtual and inperson) Employee wellness administration
  • Manage the administration of wellness digital platforms, ensuring accurate reporting
  • Monitor the implementation of the Wellness Plan
  • Co-ordinate wellness day event
  • Monitor Wellness Calendar
  • Wellness reporting

5. Human Capital Reporting

  • Compile Performance system report
  • Compile recruitment system reports
  • Compile business partner reports for the divisions
  • Compile reports for HC reporting ( SETCO, REMCO, CEO report etc)
  • HC Project Plan Tracker
  • HC ERM reports completed and submitted on time on isometrix
  • HC reports (i.e employee details, leave reports)

6.Embrace and drive organisational transformation

  • Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities. 
  • Support SAICA’s transformation into an insights-driven organisation by leveraging data and analytics to enhance decision-making, improve processes, and drive continuous improvement in your area of work 
  • Effectively utilise digital tools and technology to enhance productivity, streamline workflows, and improve service delivery. Stay informed about new and emerging technologies relevant to your role 
  • Adopt and embrace AI-driven tools and automation to enhance efficiency, accuracy, and effectiveness in job-related tasks, while continuously seeking opportunities to improve processes through innovative technology solutions 
  • Identify and support SAICA’s management of risks related to sustainability, including environmental risks, regulatory changes and social risks and integrating them into business continuity and risk management plans 

Candidate Requirements

Qualification

• Diploma in Human Resources or related field

• Degree in Industrial Psychology Qualification desirable

Experience

• At least 2 years HC Administration experience

• At least a year providing support to business on Human Capital systems such performance, recruitment, etc
