Vacancy Details
- Receive, review, and administrate customer orders from initial communication through to final processing.
- Capture and process customer orders accurately in the system.
- Ensure customer payments are received and processed for customers without approved credit terms before releasing orders to operations.
- Liaise closely with the operations team to confirm stock availability and order readiness.
- Maintain accurate records of lost sales due to stock shortages.
- Log all customer complaints on a master complaint register.
- Coordinate with operations and production teams to ensure customer complaints are investigated, resolved, and closed out.
- Record complaint outcomes and corrective actions taken.
- Send purchasing enquiries to pre-approved and predefined suppliers based on production purchase order requirements.
- Follow up on outstanding purchase order enquiries to ensure timely responses.
- Prepare and place purchase orders in line with internal approval processes.
- Coordinate with production and operations to ensure purchase orders align with demand and timelines.
- Maintain and update purchasing and order tracking files to ensure accuracy and visibility.
- Coordinate with all departments to ensure office and operational consumables are ordered and maintained at adequate stock levels.
- Assist with weekly payroll administration by capturing and entering timesheet information accurately.
- Provide general administrative support to the sales, operations, and production teams as required.
- Maintain organised filing systems (digital and physical).
Role Overview
The Sales & Office Administrator is responsible for providing administrative support across sales order processing, purchasing coordination, and general office administration. The role acts as a key link between customers, sales, operations, production, and suppliers to ensure efficient order fulfilment, stock availability, and smooth day-to-day office operations.

Candidate Requirements
- Proficient in Microsoft Excel (data capturing, basic formulas, tracking files)
- Strong email management and written communication skills
- Experience working with order processing and purchasing documentation
- Ability to maintain accurate records and master tracking files
- Experience with bookkeeping and accounting systems will be an advantage.
- Strong verbal and written communication skills
- High attention to detail and accuracy
- Ability to prioritise tasks and manage multiple deadlines
- Proactive, organised, and solution-oriented
- Ability to work collaboratively across multiple departments
- Willingness and ability to develop strong product and process knowledge

- Matric (Grade 12)
- Tertiary education will be advantageous but is not required depending on experience.
- Previous experience in sales administration, office administration, or purchasing administration preferred
- Experience in an operation, manufacturing, health supplement or associate’s industry and environment will be advantageous.
