Multotec Services (Pty) Ltd has a vacancy for an Administration Clerk / Site Agent, based at the Secunda branch.

Purpose of the Role

The role is responsible for providing administrative, operational, and on-site coordination support, acting as the primary liaison between Multotec Services and Sasol. The incumbent will ensure effective site administration, workforce readiness, compliance, and service delivery in line with client requirements.

Key Responsibilities

• Serve as the primary on-site and administrative liaison between Multotec Services, Sasol representatives, and internal stakeholders

• Manage daily correspondence, site communication, and coordination with the client

• Create, maintain, and control job files, work orders, permits, and supporting documentation

• Coordinate and monitor manpower planning, including attendance, shift rosters, and job readiness of employees

• Ensure employees are compliant with site requirements, including medicals, inductions, permits, PPE, and competency documentation

• Facilitate site access, inductions, and toolbox talks in collaboration with line management

• Monitor daily site activities and provide operational support to supervisors and technicians

• Capture, verify, and submit timekeeping records and supporting documentation for payroll and invoicing purposes

• Prepare and process invoices, ensure accuracy, and follow up on approvals and expediting with the client

• Assist with health, safety, and compliance administration, including incident reporting and document control

• Track job progress and provide regular status updates and reports to management

• Maintain effective filing systems and ensure audit readiness at all times

• Support continuous improvement initiatives related to site administration and service delivery
