🕓 Schedule: 40 hours per week with some overlap to U.S. Eastern Standard Time
💰 Salary: R28 000 – R45 000 (depending on experience)

Our client is a U.S.-based construction cost management and project management firm specializing in providing high-quality professional services to a diverse portfolio of clients. The company operates within a collaborative, international environment — focused on delivering excellence, precision, and integrity across every project.

This position offers the opportunity to work remotely from South Africa while contributing to a dynamic, fast-paced, and globally connected team.

We are seeking a highly organized and proactive Executive Assistant & Marketing Coordinator to provide comprehensive marketing, and business development support to the firm’s Principal.

This full-time remote role is structured as a contract position. The successful candidate will coordinate marketing and business development initiatives, while occasionally providing administrative support to the CEO. 

The ideal candidate is detail-oriented, professional, and capable of balancing multiple priorities in a fast-moving, cross-time-zone environment.


📋 Key Responsibilities


Business Development & Marketing Coordination

  • Prepare and submit proposals, and marketing presentations.

  • Coordinate outreach campaigns and follow-ups with potential clients and partners.

  • Maintain CRM records and business development trackers.

  • Create and manage Marketing Campaings, suggestions for marketing and sourcing material.  

  • Identify and follow up on leads for prospective clients to maintain momentum. 
  • Identify the correct person in key group areas to approach for business. 


Marketing Production & Communications

  • Develop and update marketing materials (firm profiles, resumes, project sheets).

  • Manage and curate content for social media (LinkedIn, Instagram, Facebook, X, etc.).

  • Create and edit visual content using Adobe InDesign, Illustrator, Photoshop, or Canva.

  • Ensure consistency of branding across all firm communications.

  • Maintain website content and monitor engagement metrics.

Executive Support

  • Organize and coordinate meetings via Teams or Skype

  • Prepare agendas, meeting notes, and follow-ups; organize both virtual and in-person meetings.

  • Maintain and track project files, deliverables, and proposal deadlines.

  • Handle confidential information with discretion and professionalism.

  • Build and maintain professional client relationships. 



🎓 Qualifications

Education:

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.

  • Equivalent professional diploma or certification (e.g., CIM, IMM, or Commonwealth-accredited equivalent) will be considered.

Experience:

  • 2–5 years of experience as an Executive Assistant, Marketing Coordinator, or Business Development Assistant, preferably in professional services, construction, architecture, or consulting.

  • Proven ability to manage both executive administrative functions and business development initiatives concurrently.


🧠 Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) or Canva.

  • Familiarity with CRM and email marketing platforms (HubSpot, Salesforce, Mailchimp).

  • Competence with remote collaboration tools (Teams, Zoom, SharePoint).

  • Understanding of digital marketing principles and social media analytics.

  • Berei voor en dien voorstelle en bemarkingsaanbiedings in.

  • Koördineer uitreikveldtogte en opvolgaksies met potensiële kliënte en vennote.

  • Handhaaf CRM-rekords en besigheidsontwikkelingsopsporers.

  • Skep en bestuur bemarkingsveldtogte, asook voorstelle vir bemarking en werwingsmateriaal.

  • Identifiseer en volg op leidrade van potensiële kliënte om momentum te behou.

  • Identifiseer die regte persoon in sleutelgroepe om vir besigheid te nader.

Bemarkingsproduksie en Kommunikasie

  • Ontwikkel en werk bemarkingsmateriaal by (maatskappyprofiele, CV’s, projekblaaie).

  • Bestuur en versorg inhoud vir sosiale media (LinkedIn, Instagram, Facebook, X, ens.).

  • Skep en redigeer visuele inhoud met Adobe InDesign, Illustrator, Photoshop, of Canva.

  • Verseker konsekwentheid van handelsmerkbeeld in alle maatskappykommunikasie.

  • Handhaaf webwerf-inhoud en monitor betrokkenheidsstatistieke.

Uitvoerende Ondersteuning

  • Reël en koördineer vergaderings via Teams of Skype.

🎓 Kwalifikasies

Onderwys:

  • Graad in Besigheidsadministrasie, Bemarking, Kommunikasie of ’n verwante veld.

  • ’n Gelykwaardige professionele diploma of sertifisering (bv. CIM, IMM, of enige Gemenebes-geakkrediteerde instelling) sal oorweeg word.

Ervaring:

  • 2–5 jaar ondervinding as ’n Uitvoerende Assistent, Bemarkingskoördineerder of Sakeontwikkelingsassistent, verkieslik binne professionele dienste, konstruksie, argitektuur of konsultasie.

  • Vermoë om beide uitvoerende administratiewe funksies en sakeontwikkelingsaktiwiteite gelyktydig te bestuur.
