💼Administrative & Financial Assistant
Our client is looking for a reliable and detail-oriented Administrative & Financial Assistant to support daily administrative and financial operations within a community-focused organization. This role requires a compassionate individual who is organized, efficient, and able to manage multiple responsibilities while supporting both administrative and financial processes.

Key Responsibilities:
· Administrative Support: Assist the manager with daily administrative and operational tasks.
· Financial Administration: Handle debtors and creditors accounts, including issuing invoices, following up on payments and assisting the financial officer with administrative tasks.
· Petty Cash Management: Manage and administer petty cash and assist with processing invoices and statements.
· HR Administration: Perform basic HR duties including compiling, maintaining, monitoring staff registers and personnel administration.
· Document Management: Maintain accurate filing systems and ensure personnel files and documentation remain up to date.
· Recruitment Administration: Draft and send appointment or offer letters for new staff members.
· Meeting Coordination: Prepare meeting agendas and record meeting minutes when required.
· Supplier Coordination: Obtain quotations from suppliers when necessary.
· Reception Support: Maintain professional telephone etiquette and assist with reception duties when required.
· Community Support Activities: Assist with coordinating fundraising initiatives and community-related events.
Job Requirements:
· National Senior Certificate (Matric).
· 1+ years’ experience in a similar administrative or financial support role.
· Strong administrative and organizational skills with attention to detail.
· Basic knowledge of debtors and creditors accounts and financial administration that focuses on the management of income and expenses of the business.
· Proficiency in Microsoft Excel and Microsoft 365.
· Experience with Canva will be advantageous.
· Proficiency in Microsoft PowerPoint will be beneficial.
· Experience working with Pastel / Sage Pastel Accounting (Xpress).
· Excellent verbal and written communication skills.
· Ability to send out offer letters and follow-up administatively.
· Experience with liason work and document management.
· Own reliable tranport and Valid License

Hoof Verantwoordelikhede:
· Administratiewe Ondersteuning: Assisteer die bestuurder met daaglikse administratiewe en operasionele take.
· Finansiële Administrasie: Hanteer debiteure- en krediteure rekeninge, insluitend die uitreik van fakture en opvolg van betalings en ondersteun die finansiële beampte met administratiewe take.
· Kleinkas Bestuur: Bestuur en administreer kleinkas en help met die prosessering van fakture en state.
· HR Administrasie: Verrig basiese HR-pligte, insluitend die opstel, byhou en nagaan van personeelregisters en personeeladministrasie.
· Dokumentbestuur: Handhaaf ’n akkurate liaseerstelsel en verseker dat personeel se persoonlike lêers en dokumentasie op datum bly.
· Werwingsadministrasie: Stel aanstellings- of aanbodbriewe vir nuwe personeel op en stuur dit uit.
· Vergaderingskoördinering: Stel vergaderingsagendas op en neem notules tydens vergaderings wanneer nodig.
· Verskafferkoördinering: Doen navrae en verkry kwotasies by verskaffers wanneer nodig.
· Ontvangsondersteuning: Handhaaf professionele telefoonetiket en staan by ontvangs in wanneer nodig.
· Gemeenskapsaktiwiteite: Assisteer met die koördinering van fondsinsamelingsinisiatiewe en gemeenskapsgeleenthede.
Pos Vereistes:
· Nasionale Senior Sertifikaat (Matriek).
· Minimum 1+ jaar relevante ondervinding in ’n soortgelyke administratiewe of finansiële ondersteuningsrol.
· Eie betroubare vervoer en voertuig.
· Sterk administratiewe en organisatoriese vaardighede met aandag aan detail.
· Basiese kennis van debiteure en krediteure rekeninge en finansiële administrasie wat fokus op die bestuur van inkomste en uitgawes van die besigheid.
· Vaardigheid in Microsoft Excel en Microsoft 365.
· Ondervinding met Canva.
· Vaardigheid in Microsoft PowerPoint sal voordelig wees.
