REPORTING TO THE SALES ADMINISTRATION AND CONTRACTS MANAGER
JOB PURPOSE:
To manage the end-to-end lifecycle of contracts related to the supply of goods and/or services to customers, ensuring compliance with contractual obligations, optimization of commercial terms, and mitigation of risks. The role ensures that all customer contracts are properly drafted, executed, administered, monitored, and closed out in alignment with organizational policies and objectives.
JOB FUNCTION:
COMMERCIAL CONTRACTING:
Interaction with in-house legal on drafting, review, and negotiate customer supply contracts within approved legal and policy frameworks. Collaborate with sales, legal, finance, and operations teams to develop commercially viable and compliant contract terms. Ensure timely execution and renewal of customer contracts. Apply CPA tables and relevant cost indices to ensure fair and accurate contract cost representation. Provide commercial support to sales team during negotiation.
CONTACT GOVERNANCE:
Monitor contractual and regulatory compliance to mitigate financial and operational risks. Liaise with the legal department to ensure adherence to laws, regulations, and corporate policies. Report potential risks, breaches, or non-compliance cases promptly. Conduct periodic audits of active contracts to assess performance and compliance.
CONTRACT ADMINISTRATION:
Maintain a centralized repository of customer contracts, ensuring version control and accessibility. Track key contract milestones, obligations, and renewal dates. Ensure all deliverables and performance standards are met as per contract terms. Manage contract variations, amendments, and extensions.
CONTRACT PERFORMANCE ANALYTICS:
Develop and maintain contract performance dashboards. Prepare periodic reports on contract performance, risks, and renewal status. Recommend process improvements for contract efficiency and risk reduction. Support digitalization or ERP integration of contract management systems.
STAKEHOLDER LIAISON:
Act as the primary contact point for all contract related communication with customers. Resolve contract-related queries, disputes, and performance issues in coordination with relevant departments. Support customer relationship management by ensuring transparent communication and compliance with terms

Candidate Requirements
QUALIFICATION & REQUIREMENTS:Bachelor's degree in supply chain management/commerce or similar
At least 3 years' experience in contract management, contract administration, or commercial operations (preferably in supply, logistics, or industrial sectors).
Experience in customer-facing contracts and managing multi-stakeholder agreements.
Strong commercial and financial acumen.
Excellent negotiation and communication skills; analytical and problem-solving ability; strong attention to detail and accuracy.
Knowledge of commercial regulations, procurement processes, and contract compliance.
Proficient in Microsoft Office Suite (MS Word, Excel, PowerPoint and Outlook).
Experience with ERP systems, CRM platforms, or commercial management software.
