💼Administrative and Financial Support Officer
Our client is looking for a detail-oriented and proactive Administrative and Financial Support Officer to provide comprehensive administrative, bookkeeping, procurement, and liaison support to clients, contractors, and internal teams. This role plays a vital part in ensuring accurate financial reporting, compliance, and smooth operational workflows within the organization.

📍Location: East London, Eastern Cape
💰Salary: R18 000.00 – R30 000.00
🕰️Working Hours: Monday – Friday |08:00 – 17:00
🪑Available Positions: 1

Key Responsibilities:
Administrative Support:
· Ensure that VAT reports for clients are compiled accurately.
· Ensure that claims certificates are issued against payments and reconciled and updated in milestone reports.
· Ensure that records are properly filed and archived.
· Ensure that the necessary payment documentation is prepared and accurate.
· Ensure that mandated or authorized signatures are obtained to authorize payments.
· Submit payment advices to the Finance Department timeously.
· Ensure that PODs and invoices are obtained from suppliers and contractors.
· Ensure that material reconciliation reports are updated.
· Ensure that all BuiltSmart reports are prepared and updated monthly.
· Ensure responsibility for contractors’ bank accounts.
· Follow up on payment certificates and progress claims with the relevant parties.
· Ensure that closure forms are authorized and that funders and relevant stakeholders are fully settled.
· Provide project financial information to support managers for the compilation of funder and internal reports.
· Supplying project financial information to Support Managers in order for them to compile Funders' and company reports
 Liaison:
· Escalate queries to the construction support manager when required.
· Attend to queries from suppliers and clients.
· Setting up monthly progress meetings with clients and ensure reports are compiled.
Bookkeeping:
· Ensure bank statements are reconciled.
· Ensure suppliers’ accounts are reconciled.
· Ensure that funders’, internal, and banking statements are reconciled.
· Ensure contractors’ signatures are obtained on monthly statements.
· Generate and process monthly income statements.
Financial Administration:
·  Administrate support fees for services provided to contractors.
·  Ensure that funders’ loan accounts are paid once contractors receive proceeds from payment claims or certificates.
· Ensure that debtor accounts remain within the 30-day period and escalate issues where required.
Ad Hoc Duties:
· Take minutes during client and SCM meetings.
· Assist with pre-screen packs.
· Assist with sales administration and obtaining application support documents.
· Perform additional duties that reasonably fall within the job description or operational requirements of the company.

Job Requirements:
· Proven experience in administrative support, bookkeeping, and client liaison.
· Proficiency in BuiltSmart or similar accounting or project management software.
· Strong organizational and time management skills.
· Excellent written and verbal communication skills.
· Ability to manage multiple tasks and meet deadlines.
· Strong attention to detail and accuracy.

Ons kliënt is op soek na ’n detail-georiënteerde en proaktiewe Administratiewe en Finansiële Ondersteuningsbeampte om omvattende administratiewe, boekhou-, verkrygings- en skakelfunksies aan kliënte, kontrakteurs en interne spanne te verskaf. Hierdie rol speel ’n belangrike rol om akkurate finansiële verslagdoening, nakoming en gladde operasionele werkvloeie te verseker.

Hoof Verantwoordelikhede:
Administratiewe Ondersteuning:
· Verseker dat BTW-verslae vir kliënte akkuraat saamgestel word.
· Verseker dat eissertifikate teen betalings uitgereik, versoen en in mylpaalverslae opgedateer word.
· Verseker dat rekords behoorlik geliasseer en geargiveer word.
· Verseker dat die nodige betalingsdokumentasie voorberei en akkuraat is.
· Verseker dat gemagtigde handtekeninge verkry word om betalings te magtig.
· Dien betalingsadvies betyds by die Finansiële Departement in.
· Verseker dat POD’s en fakture van verskaffers en kontrakteurs verkry word.
· Verseker dat materiaalversoeningsverslae op datum en akkuraat is.
· Verseker dat alle BuiltSmart-verslae maandeliks voorberei en opgedateer word.
· Handhaaf verantwoordelikheid vir kontrakteurs se bankrekeninge.
· Volg op met betalingssertifikate en vorderings-eise met relevante partye.
· Verseker dat sluitingsvorms gemagtig word en dat befondsers en relevante partye ten volle vereffen is.
· Verskaf projekfinansiële inligting aan ondersteuningsbestuurders vir die samestelling van befondsers- en         interne verslae.
Skakelfunksie:
· Eskaleer navrae na die konstruksie-ondersteuningsbestuurder wanneer nodig.
· Hanteer navrae van verskaffers en kliënte.
· Koördineer maandelikse vorderingsvergaderings met kliënte en verseker dat verslae saamgestel word.
Boekhouding:
· Verseker dat bankstate rekonsilieër word.
· Verseker dat verskaffersrekeninge rekonsilieër word.
· Verseker dat befondsers-, interne en bankstate rekonsilieër word.
· Verseker dat kontrakteurs se handtekeninge op maandelikse state verkry word.
· Genereer en verwerk maandelikse inkomste-state.
Finansiële Administrasie:
 · Administreer ondersteuningsfooie vir dienste wat aan kontrakteurs gelewer word.
 · Verseker dat befondsers se leningrekeninge betaal word wanneer kontrakteurs betaling ontvang vanaf             eissertifikate of betalings-eise.
· Verseker dat debiteure se boek binne ’n 30-dae bly en eskaleer probleme waar nodig.
 Ad hoc Take:
· Neem notules en minute tydens kliënt- en SCM-vergaderings.
· Help met pre-screen pakkette.
· Help met verkoopsadministrasie en die verkryging van aansoek ondersteuningsdokumente.
· Verrig addisionele pligte wat redelikerwys binne die omvang van die posbeskrywing of operasionele vereistes van die maatskappy val.

· Nasionale Senior Sertifikaat.

· Sterk organisatoriese en tydsbestuursvaardighede.
· Vermoë om veelvuldige take te bestuur en spertye te haal.
