The Office and Warehouse Manager is responsible for overseeing the efficient day-to-day operations of both the front office and warehouse. This role ensures smooth reception and client service functions while managing warehouse activities including inventory control, order fulfillment, logistics coordination, and team supervision.
The successful candidate will ensure operational efficiency, maintain high service standards for clients and visitors, uphold health and safety compliance, and implement processes that improve productivity and accuracy across both office and warehouse functions.
Key Responsibilities
Front Office & Client Experience
Manage daily reception and front desk operations to ensure professional, efficient service aligned with company standards and brand image.
Act as the primary point of contact for visitors, clients, and stakeholders, providing a welcoming and professional first and last impression.
Handle client inquiries, requests, complaints, and escalations promptly and professionally.
Ensure front office processes run smoothly and maintain an organized, efficient administrative environment.
Liaise between reception and senior management when required, particularly in urgent or escalated situations.
Warehouse Operations Management
Oversee all daily warehouse operations including receiving, storage, picking, packing, and dispatch.
Ensure efficient workflow processes to meet operational timelines and delivery commitments.
Supervise packers and warehouse staff to ensure orders are processed accurately, packed correctly, and loaded appropriately for dispatch.
Inventory Control
Maintain accurate stock records and ensure proper inventory management.
Conduct weekly stock counts and cycle counts to monitor stock levels and ensure accuracy.
Implement and maintain procedures to minimize stock discrepancies, shrinkage, overstocking, and stockouts.
Logistics & Order Fulfillment
Coordinate inbound and outbound shipments and manage order processing activities.
Organize and monitor customer deliveries to ensure timely and accurate dispatch.
Liaise with suppliers, transport providers, and logistics partners, including managing customs clearance where applicable.
Health, Safety & Compliance
Maintain a safe, organized, and compliant warehouse environment.
Enforce safety procedures, housekeeping standards, hygiene protocols, and security measures.
Ensure compliance with relevant South African health, safety, and operational regulations.
Warehouse Optimization & Process Improvement
Optimize warehouse layout, storage systems, and binning structures to maximize efficiency and space utilization.
Continuously review operational workflows to identify opportunities for improvement and increased productivity.
Quality Assurance & Performance Monitoring
Oversee quality control processes to ensure order accuracy and product handling standards.
Track and report key performance indicators (KPIs) such as order accuracy, stock accuracy, and on-time dispatch.
Identify operational improvements and implement best practices.
Stakeholder Coordination & Reporting
Provide excellent customer service regarding order queries and stock availability.
Coordinate with internal departments, suppliers, and logistics partners to ensure operational alignment.
Prepare and submit daily operational reports to the CEO outlining warehouse activities, operational issues, and performance updates.

Candidate Requirements
Key RequirementsExperience
Minimum 3–5 years’ experience in warehouse or operations management.
Experience managing inventory control systems and warehouse operations.
Prior experience in front office or administrative management will be advantageous.
Experience supervising staff and coordinating logistics operations.
Skills & Competencies
Strong organizational and operational management skills.
Excellent communication and interpersonal skills for client and stakeholder interaction.
Ability to solve problems quickly and manage operational challenges effectively.
Strong inventory management and analytical abilities.
Knowledge of warehouse safety standards and South African compliance regulations.
Proficiency in Microsoft Office and inventory/warehouse management systems.
Strong leadership and team management skills.
