How you'll role
The Administrator / Personal Assistant will play a key role in providing essential administrative, financial, and coordination support to the Executive Team. This role is designed to alleviate the executive workload by maintaining organized systems, managing payments and budgets, and ensuring the seamless operation of both business and personal affairs. The ideal candidate is a self-motivated, detail-oriented individual who can manage multiple priorities efficiently, anticipate administrative needs, and solve problems independently, all while maintaining a high level of professionalism and confidentiality.
What you'll do
- Take over general administrative tasks to reduce the workload of the Executive Team
- Process and make payments accurately and on time
- Liaise with the accountant regarding payment allocations
- Manage budgets and track spending
- Arrange travel, itineraries, and logistics
- Schedule meetings and appointments
- Manage relationships with service providers, suppliers, and vendors
- Track attendance and assist with payroll coordination for household employees
- Attend Microsoft Teams meetings and take structured notes
- Maintain shared Dropbox folders, ensuring critical files and confidential documents are organised and up to date
- Complete paperwork, forms, and general documentation
- Handle occasional personal errands and potential travel within the Johannesburg area (not essential)
Required Skills
- Budget Management: 2 to 3 years
- Admin: 2 to 3 years
- Payment Processing: 2 to 3 years
- Executive Assistance: 2 to 3 years
Candidate Requirements
What you'll need
- Previous experience as a Personal Assistant, Executive Assistant, or Administrator
- Experience managing budgets or payments
- Experience supporting household or personal operations
- Experience coordinating vendors or service providers
- Valid driver’s licence and own vehicle – advantageous
- Strong organisational skills with excellent attention to detail
- Proactive problem-solver
- Assertive communicator who can follow up and push for information or service delivery
- Self-starter with a 'hit the ground running' mindset
- Ability to work independently with minimal supervision
- High level of discretion and confidentiality
- Strong time management and prioritisation skills
