Reporting To: FCS Financial Manager
Job Purpose
The primary purpose of this role is to manage and enforce the Group Credit Policy, lead and develop the Credit Control team, and ensure the achievement of collection targets while maintaining a healthy cash flow. The Credit Control Manager is responsible for minimizing bad debts, improving debtor days, strengthening client relationships, and ensuring intercompany and interdepartmental alignment to reduce queries and improve operational standards.
Minimum Requirements
- Clear criminal record
- Matric certificate
- Credit Management 1 to 4
- Minimum 5 years’ Accounting / Management experience
- Computer literacy and proficiency in Microsoft Word, Outlook, SAP, and Excel
Key Responsibilities
Leadership & Team Management
- Lead, mentor, and manage the Credit Control team.
- Establish and monitor clear KPIs to drive performance.
- Conduct quarterly training sessions to enhance team capability.
- Foster a high-performance culture focused on collection efficiency and accuracy.
- Review and approve commission sheets and conduct commission reviews.
- Conduct regular team meetings to monitor performance and provide coaching.
Credit & Collections Management
- Monitor and manage group age analysis reports.
- Compile and analyse opening balances and extended payment terms.
- Monitor aged debt (90/120/150 days) and implement recovery strategies.
- Drive DSO (Days Sales Outstanding) improvements and reduce debtor days.
- Compile weekly overdue reports and prioritize high-risk accounts.
- Monitor legal accounts, business rescue clients, and payment arrangements.
Financial Reporting & Compliance
- Prepare monthly bad debt and credit note provisions.
- Reconcile system ageing to Head Office data.
- Compile weekly cash flow forecasts.
- Ensure accurate processing of invoices, statements, and reconciliations.
- Submit monthly Board Pack reports, including:
- DSO Schedule
- Credit Management Report
- 90/120/150-day overdue reports
- Non-payers report
- Bad debt provisions
Client Liaison & Relationship Management
- Build and maintain strong senior-level client relationships.
- Attend client meetings (including Directors and Operational Managers).
- Resolve disputes and negotiate payment terms.
- Reduce client query turnaround times.
- Oversee onboarding of new corporate clients in line with credit policies.
Legal & Risk Management
- Manage legal matters at Head Office level.
- Attend monthly legal review meetings.
- Allocate payments to legal accounts.
- Process bad debt write-offs.
- Ensure attorney accounts are paid timeously.
Financial Year-End Responsibilities
- Ensure all Debtors Reconciliations are balanced.
- Process all bad debts, journals, credit notes, and cash allocations.
- Update and finalize Bad Debt schedules for VAT purposes.
- Balance DSO schedule to General Ledger at financial year-end (February).
Payroll & Administrative Oversight
- Submit documentation for:
- New employee onboarding
- Monthly commission processing
- Leave approvals
- Warnings and HR documentation
- Ensure timely submission throughout approval processes.
Intercompany & Interdepartmental Engagement
- Schedule and attend weekly and monthly credit meetings with:
- Credit Staff & OSU
- Operational Managers
- Financial Managers
- Company Executives
