Vacancy

Suitably qualified and eligible candidates with 3-5 years’ experience are invited to apply for the vacant permanent Executive Assistant position based at our Johannesburg office. 

Duties and Responsibilities

Reporting to the Executive Director (ED), the key responsibilities for the Executive Assistant role include but are not limited to:

  • Support the ED through diary management, travel and daily workflow management

  • Provide logistical and administrative support for all ED related activities, meetings, engagement and projects

  • Provide Board administration and secretariat support under the direction and authority of the Board secretary in terms of logistical arrangements, preparation and administration of Board packs,  minutes, communications and minutes

  • Oversee office administration and operations including of reception duties, maintaining office supplies and supporting departmental administrative needs where capacity is required.

  • Conduct desktop research to support organisational projects and provide administrative support for proposals and tender preparations

  • Manage all administrative tasks related to organisational meetings

  • Office Management: 3 to 4 years
  • Ms Office: 4 to 5 years
  • Administrative Functions: 4 to 5 years
  • Minute-Taking: 4 to 5 years
  • Desktop Research And Analysis: 3 to 4 years

Candidate Requirements

Minimum Requirements:

  • National Senior Certificate plus National Diploma or Bachelor’s degree in Administration, Business Management, Communications, or related field 

  • Minimum 3–5 years’ experience in executive support, office administration, or similar roles.

  • Experience supporting governance structures or Board administration is an advantage.

  • Previous work in the non-governmental and/or not-for-profit sector advantageous

Required Skills & Attributes:

  • Advanced administrative and office management skills

  • Strong minute-taking, documentation, and action-tracking capability

  • Excellent written and verbal communication skills

  • Advanced proficiency in MS Office/Google Spaces and digital collaboration tools

  • Research and information analysis skills 

  • Attention to detail and accuracy

  • Sound time management and deadline driven

  • Good team player with ability to interact at all level
