💼Financial Administrator
Our client is looking for a professional and detail-oriented Financial Administrator to join their team. This role is essential in ensuring that all financial processes are handled accurately and on time, with a strong focus on payments, reconciliations, and financial reporting. The successful candidate will play a key role in maintaining financial stability and supporting the company’s day-to-day operations.

Our client is a well-established property management business operating from Pretoria. They are committed to professionalism, accuracy, and maintaining strict financial controls to ensure all accounts and payments are managed efficiently and within deadlines.

📍Location: Alphen Park, Pretoria
💰Salary: R21,000 – R25,000
🕰️Werksure: Monday to Friday 08:00 – 17:00. 
🪑Available Positions: 1
📅Start Date: As soon as possible

Key Responsibilities

Financial & Payment Management

  • Ensure all accounts (including municipal accounts) are paid accurately and on time.

  • Prepare, load, and submit payments for authorization.

  • Prevent duplicate or late payments.

  • Manage 30-day accounts and ensure statements are obtained monthly.

Municipal Accounts & Utilities

  • Retrieve and process municipal invoices weekly.

  • Follow up on queries and prevent service interruptions.

  • Manage municipal reconciliations and update tracking spreadsheets.

  • Coordinate utility audits (PEC) and submit required reports.

Banking & Reconciliations

  • Daily bank monitoring and statement processing in MDA.

  • Perform bank reconciliations before income statements are finalized.

  • Prepare loan account reconciliations and interest calculations.

Financial Reporting

  • Compile Income Statements and Balance Sheet recons (bi-annually).

  • Investigate and report major variances.

  • Process recurring journal entries in MDA.

Property Administration

  • Manage storage unit billing and arrears.

  • Distribute vacancy lists to external agents.

  • Maintain legal tracking spreadsheets and monitor attorney billing.

Compliance & Administration

  • Maintain filing systems and backups.

  • Ensure inbox and task management remains up to date.

  • Meet all deadlines without exception.

Job Requirements:
· Matric.
· Relevant Degree, Diploma or completed courses.
· Minimum 5 years relevant work experience.
· Strong Excel skills.
· MDA Property Manager Software experience (bonus).

Key Characteristics:
· Candidate must meet payment deadlines strictly. No payment may be submitted or paid late.
· If a statement or invoice is not received, it must be reported immediately, especially with regard to municipal payments.
· Deadlines must be met consistently and without exception.
· Punctual, accurate, and well-presented.
· Able to work fast and handle large payments while consistently double-checking all work to ensure payment preparations are correct at all times.

Finansiële & Betalingsbestuur

  • Verseker dat alle rekeninge (insluitend munisipale rekeninge) betyds en akkuraat betaal word.

  • Voorbereiding en laai van betalings vir goedkeuring.

  • Voorkom laat of gedupliseerde betalings.

  • Bestuur 30-dae rekeninge en verkry maandelikse state.

Munisipale Rekenings & Nutsdienste

  • Verkry en verwerk munisipale fakture weekliks.

  • Volg op uitstaande navrae en voorkom diensonderbrekings.

  • Bestuur nutsrekonsiliasies en hou opsporingslyste op datum.

  • Koördineer PEC nutsoudits en deel terugvoer.

Bankwese & Rekonsiliasies

  • Daaglikse bankmonitering en verwerking in MDA.

  • Voltooi bankrekonsiliasies voor inkomstestate gefinaliseer word.

  • Berei leningsrekening rekonsiliasies en rente-berekeninge voor.

Finansiële Verslagdoening

  • Opstel van Inkomstestate en halfjaarlikse Balansstaat-rekonsiliasies.

  • Ondersoek en rapporteer beduidende afwykings.

  • Verwerk herhalende joernaalinskrywings in MDA.

Eiendomsadministrasie

  • Bestuur bergingseenheid fakturering en agterstallige rekeninge.

  • Stuur vakansielyste aan eksterne agente.

  • Hou regsaangeleenthede-lys by en monitor prokureursrekeninge.

Nakoming & Administrasie

  • Handhaaf lêerstelsels en rugsteun van data.

  • Hou e-posse en take op datum.

  • Nakoming van alle sperdatums sonder uitsondering.

Pos Vereistes:
· Matriek.
· Relevante Graad, Diploma of kursusse voltooi.
· Minimum 5 jaar relevante werksondervinding.
· Sterk Excel vaardigheid.
· MDA Property Manager Software ondervinding (’n bonus).

Karaktereienskappe:
· Kandidaat moet stiptelik betalings nakom. Geen betaling mag laat ingedien of betaal word nie.
· Indien ’n staat of faktuur nie verkry is nie, moet dit dadelik gerapporteer word, spesifiek wat munisipale betalings aanbetref.
· Sperdatums moet stiptelik nagekom word.
· Stiptelik, noukeurig en netjies.
· Vermoë om met spoed te werk en groot betalings te hanteer, terwyl alle werk voortdurend nagegaan word om seker te maak dat betalingsvoorbereidings te alle tye korrek is.
