PURPOSE:            

What is the purpose of this job?

To manage and optimise receiving, warehousing and distribution operations in line with operational procedures and company policies thereby ensuring exceptional service and operational efficiencies.

RESPONSIBILITIES:

What are you responsible for doing?

  • Oversee all receiving, warehousing (picking, checking, packing) and distribution operations.
  • Ensure timely, cost effective and accurate receipt of stock, order fill, and the optimisation of resources and processes.
  • Adhere to all warehousing, materials handling, and shipping legislation requirements.
  • Demonstrate support of a safe working environment, effective working relationships, quality, and productivity
  • Design and review layout of warehouse and ensure optimum space utilisation.
  • Optimise inventory volumes and warehouse capacity to maximise productivity.
  • Review and re-allocate inventory to optimise the layout of the warehouse and productivity of the warehouse team e.g., locations of slow- and fast-moving stock, minimum and maximum stock levels in bin allocations, bulk stock, pick slots
  • Review order requisitions to determine when stock needs to be relocated from bulk to pick allocations utilising floor walks, input from supervisors and warehouse staff.
  • Review order requisitions against selling patterns and address any queries with relevant Area Manager and National Operations and Sales Manager
  • Ensure an effective plan is in place to manage all events, e.g., Valentines Day, Christmas Trade, and all promotional activities.
  • Review route planner and delivery schedules, against Daily Sales Report, every two to three months in partnership with the National Operations and Sales Manager
  • Review and update order sheets issued to stores bi-annually in partnership with the National Operations and Sales Manager, Inventory, BI, Marketing and Product Development Managers
  • Liaise with upstream and downstream partners to effectively manage increase in volumes, order frequency and available warehouse space.
  • Develop, implement, and review operational policies and procedures in support of improved operational efficiencies and the verification of incoming and outgoing orders.
  • Manage, implement, and ensure compliance around real time stock management and movement via Warehouse Management System (WMS) mobile handheld devices.
  • Ensure effective and safe utilisation of warehouse and material handling equipment.
  • Ensure all stock is handled according to requirements to minimise shrinkage and retain quality standards.
  • Ensure that all warehouse staff and materials handling resources are deployed optimally to respond to variations in workflow.
  • Ensure a safe, hygienic, and secure working environment by establishing and enforcing compliance with procedures, standards, rules, and regulations.
  • Ensure the company’s physical assets (building, equipment, inventory) are properly controlled, maintained, protected, and utilised.
  • Maintain overall security of the warehouse and ensure procedures are in place to minimise all forms of shrinkage.
  • Maximise availability of equipment and vehicles and minimise downtime.
  • Oversee preventative maintenance measures designed to minimise equipment and vehicle downtime, conduct inspections, and where required requested either repair and or replacement.
  • Maintain documentation and keep accurate records of all warehouse activities.
  • Manage inventory and reconcile with the ERP data storage system.
  • Manage partial stock takes, fast- and slow-moving stock takes to avoid out of stock situations, and monthly stock takes on local (Autograph and other suppliers) and overseas suppliers (China) as input to re-ordering.
  • Manage stock takes as and when required on identified stock items, report findings and make recommendations.
  • Collaborate with employees to ensure information reported is accurate and consistent with procedures and policies.
  • Ensure all stock is stored in safe, appropriate locations, considering temperature sensitivity, light exposure, size, weight, and available space.
  • Work in conjunction with other departments to manage product ordering, inventory control and distribution activities.
  • Support stock take and audit activities and use findings to improve operations.
  • Ensure effective communication with internal and external customers.
  • Receive feedback and monitor quality of service received from warehouse department.
  • Develop and maintain effective working relationships between the warehouse department and other business areas.
  • Ensure orders are despatched and delivered according to the agreed delivery schedule and that shipping requirements are met for cross border stores.
  • Ensure vehicle routes are adhered to and any out of tolerance indicators are addressed knowledge of location and condition of vehicle fleet.
  • Optimise delivery routes taking into consideration order volumes, ordering cycles (weekly, bi-weekly), vehicle capacity and vehicle availability.
  • Ensure delivery vehicles and material handling equipment is maintained and serviced.
  • Produce reports and analyse statistics.
JOB REQUIREMENTS
  • Grade 12 required.
  • Degree or Diploma in Distribution, Logistics, Supply Chain Management or business administration or related qualification required.
  • Drivers Licence: Forklift and Reach truck
  • Minimum of 5 years’ experience in a Warehouse and Distribution Manager or similar position is required.
  • 3 – 5 years’ experience managing a warehouse or related functional team is required
  • 3 years working experience in a retail/warehouse environment is required.
  • Experience organising stock takes end to end is a requirement.
  • Experience working with Warehouse and or Inventory Management systems and computer applications is required.
  • Demonstrated knowledge of productivity measurement tools is required.
