Summary of the Job
The warehouse manager will manage warehouse operations, including receiving, storage, inventory management, order fulfilment, despatch, housekeeping and overseeing of production.
To ensure efficient utilization of warehouse space, optimal inventory levels, manage cycle counts as well as adherence to safety protocols, and timely delivery of goods to customers.
They will also work closely with the warehouse, receiving, despatch and production team leaders as well as general warehouse staff.
They will foster a culture of teamwork, make sure deadlines are met and implement strategies to enhance operational efficiency and customer satisfaction.
Roles and Responsibilities / Key Performance Areas
Procurement Management:
Supporting the procurement and production manager with various administrative and operational tasks.
Inventory Management:
Plan and forecast inventory levels in both production and warehouse especially on finished products from production to meet customer demand while minimizing carrying costs and stockouts.
Implement inventory control measures, including cycle counting, stock reconciliation, and inventory audits. Heading the annual stock counts and making sure staff are counting stock accurately and efficiently.
Optimize production workflow and warehouse layout and storage methods together with the warehouse team leader to maximize space utilization and operational efficiency.
Monitor inventory levels and analyse usage patterns, especially on finished goods to identify potential issues or opportunities for improvement.
Warehouse & Production Operations:
Supervise and coordinate the activities of warehouse staff, including receiving, storage, picking, packing, despatch and production.
Overall management of despatch and working closely with the despatch clerk and despatch team leader. Overseeing orders being despatched daily, checking of paperwork and quality of products. Signing off of Despatch check lists.
Ensure compliance with health and safety regulations, warehouse procedures, and quality standards.
Maintain accurate records of inventory transactions, posting and moving of products internally, shipments, and warehouse activities.
Assisting with continuous improvement initiatives to optimize warehouse processes.
Resolve any issues or discrepancies related to inventory, orders, or warehouse operations in a timely manner.
Managing housekeeping and labelling of products and shelves.
Reporting back to management regarding issues or when required
Proactively address any delays or issues to minimize disruptions to delivery schedules to management.
Quality Control:
Enforce and double check quality standards when receiving finished stock from production and despatching of stock to minimize errors and maintain customer satisfaction
Team Leadership and Development:
Provide guidance and support to procurement, warehouse and production team members.
Provide feedback to facilitate employee growth and development.
Foster a positive and collaborative work environment, promoting teamwork, responsibility,
accountability, and open communication.
Identify training needs and opportunities for skills enhancement within the team.
Lead by example and uphold the organization's values and ethical standards.
Customer Service:
Provide updates on despatch status together with the Despatch Clerk.
Assist with customer inquiries, complaints, and issues related to any incorrect stock being delivered or product quality with the relevant department in a timely and professional manner.
Creation of supporting documentation that is required by customers – ie COA, SDS etc
Embracing Technological Improvements:
Stay updated on emerging technologies and advancements in warehouse management systems.
Identify opportunities to leverage technology for process automation, inventory tracking, and data analysis.
Assist when training is required in the warehouse and production departments to all respective staff members on the use of new technologies and systems, ensuring proper integration and adoption.

Candidate Requirements
Qualifications and Skills:Matric Certificate
Relevant qualification in Logistics, Operations, Warehousing & Inventory management
Driver’s License
Forklift License if possible
Proven experience in a warehouse, production and procurement role
Strong knowledge of receiving & despatch procedures, warehouse operations, and inventory management and storage.
Effective communication and organizational skills.
Dedication to safety and quality standards
Problem-solving and decision-making abilities.
Flexibility to work overtime/weekends and adapt to changing demands.
