The Buyer is responsible for the end-to-end international and local processes, from strategic planning and supplier negotiation to logistics coordination and customs compliance. This role requires meticulous attention to detail, strong analytical skills, and proven experience in managing the import lifecycle to ensure cost efficiency, quality standards, and timely delivery of goods.
KEY RESPONSIBILITIES:
1. Supplier Management and Negotiation:
Source, evaluate, and select prospective international vendors and negotiate contracts, pricing, and terms.
Build and maintain strong, long-lasting relationships with global suppliers.
Monitor supplier performance based on quality, timeliness, and price.
2. Import Planning and Inventory Management:
Analyse sales reports, stock trends & historical data to forecast demand and plan purchasing schedules.
Plan and maintain optimal stock levels to meet demand while minimising inventory holding costs.
3. Placing and Monitoring Orders:
Generate and process purchase orders (POs) accurately and in a timely manner within the ERP system.
Expedite orders and track shipments to ensure on-time delivery and update internal teams on status changes.
Coordinate with the warehouse team to manage goods received (GRVs), discrepancies, and resolve issues with defective or incorrect shipments.
4. Logistics and Import Operations:
Manage all aspects of the import process, including liaising with freight forwarders, shipping lines, and customs brokers.
Coordinate shipping logistics, potentially involving planning container fitment and optimising cargo space for sea freight to ensure cost-effective shipments.
Ensure all import/export documentation, such as bills of lading, commercial invoices, and customs declarations, is accurate and in order.
5. Compliance and Costing:
Verify VAT, duties, and compliance with South African import regulations (e.g., knowledge of HS codes, ITAC import permits, and Inco terms).
Calculate and verify landed costs for all imported products.

Candidate Requirements
Qualifications & Skills:
1. Matric PLUS relevant diploma or degree in Supply Chain Management / Procurement
2. Strong analytical, problem-solving, and numerical abilities.
4. Proficiency in MS Office (advanced Excel) and experience with an ERP/inventory management system (e.g., Sage Evolution, Syspro).
5. Excellent communication, negotiation, and organisational skills.
6. Ability to work in a fast-paced environment and perform under pressure.
ESSENTIAL Experience:
1. Minimum of 5+ years of industry specific experience in a procurement or buying role, with specific focus on international sourcing and import logistics.
2. Proven experience with import procedures, air, and sea freight logistics.
3. Experience using historical sales data and forecasting tools.
