Job Overview:
We are seeking a dedicated personal assistant to assist with daily operations and assistance to two executives. The ideal candidate will play a pivotal role in supporting senior management with seamless operations and an organised environment. This position requires a detail-oriented professional with exceptional communication skills, a strong ability to manage multiple tasks, strong MS365 skills and a commitment to maintaining confidentiality. The ideal candidate will thrive in a fast-paced environment and possess a strong sense of initiative.
Duties and Responsibilities:
Understand the company’s policies and undergo training when required.
Scheduling of tasks and calendar entries.
Monitoring emails and responding where required.
Ensuring all information and documentation on OneDrive/Teams platform is up to date.
Capturing data and preparing documentation.
Liaising with various contractors and other third parties.
Ensuring vetting and FICA compliances are met and recorded.
Assist with property inventories, listing optimisation, preparation of documents, organised filing etc.
Assist the team with emergencies when needed, which may require travelling.
Any other administration tasks where required.
Candidate Requirements
Proven experience as a personal / executive assistant, administrator or in a similar role.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office suite and other relevant software applications.
Excellent written and verbal communication skills.
Ability to prioritise tasks and work efficiently in a fast-paced environment.
Knowledge of office procedures and standard administrative practices.
Ability to handle confidential information with discretion.
Advantageous:
Experience in Property and/or Hospitality (Airbnb, Hotels, BnBs etc.)
