- Ensure project deliverables meet quality standards.
- Gather and maintain accurate SMME data to support informed decision-making and program effectiveness.
- Manage PMO office supplies and travel arrangements to ensure smooth project execution.
- Maintain and update project information across various platforms like SME tools, Growth Wheel, AMI, and Accelerator App for easy access and collaboration.
- Conduct administrative duties, such as setting up meetings.
- Collect and collate BBBEE verification documents to ensure adherence to regulations
- Proactively take on additional tasks assigned by the Project Manager and Project Coordinator, demonstrating a willingness to learn and contribute.
- Assist with conducting meetings and presentations to update stakeholders on project progress.
- Escalate client concerns and requests were needed.
- Monitor submissions of surveys and report on the same.
- Schedule and manage meetings between SMEs and their assigned mentors, ensuring optimal time zone alignment and participant availability.
- Proactively liaise with mentors to confirm their availability and address any scheduling conflicts.
- Maintain clear communication with both SMMEs and mentors regarding meeting logistics (date, time, platform, agenda).
- Maintain, and update accurate SMMEs data across various project information systems.
- Ensure all data entries are accurate and error-free.
- Ensure timeous submission of time sheets/data.
- Track the accuracy and completeness of data sets you compile or assist in compiling for report writing.
- Identify improvements and efficiencies in processes and templates.
- Assist with collating data or information required for report writing.
PRIMARY PURPOSE:
Project Administrator is to handle tasks like scheduling meetings, managing documentation, and keeping budgets, the project data/information project organised and on track. They are the communication hub, ensuring information flows between PMO team members and stakeholders.
