Payroll Officer / Payroll Administrator (Permanent, In-House)

Location: Stellenbosch, Western Cape

Employment Type: Permanent, full-time

Overview

We are looking for a detail-oriented and reliable Payroll Officer to manage the company’s end-to-end payroll function in-house. The successful candidate will be responsible for ensuring accurate, compliant, and timely payroll processing while maintaining strict confidentiality and supporting employees with payroll-related queries.

Key Responsibilities

Payroll Processing

  • Process monthly payroll accurately and on time for all employees

  • Capture and verify new appointments, terminations, salary changes, allowances, deductions, and bonuses

  • Maintain accurate employee payroll records

  • Ensure compliance with BCEA, Labour Relations Act, and company policies

Statutory & Compliance

  • Calculate and submit statutory deductions (PAYE, UIF, SDL)

  • Prepare and submit EMP201 and EMP501 reconciliations

  • Issue IRP5/IT3(a) certificates annually and on termination

  • Liaise with SARS and other statutory bodies when required

Reporting & Reconciliation

  • Prepare monthly payroll reports for finance and management

  • Reconcile payroll to general ledger and resolve discrepancies

  • Assist with audits by providing payroll documentation and reports

Employee Support

  • Handle payroll-related queries from employees professionally and confidentially

  • Explain payslips, deductions, and benefits clearly to staff

  • Work closely with HR and Finance teams to ensure data accuracy

Systems & Administration

  • Maintain payroll systems and ensure data integrity

  • Assist with payroll system updates, testing, and improvements

  • Ensure compliance with POPIA and confidentiality requirements


Candidate Requirements

Minimum Requirements

  • Relevant qualification in Payroll, Accounting, Finance, or HR

  • Minimum 3 years of payroll work experience 

  • Strong working knowledge of South African payroll legislation

  • Experience with payroll systems (e.g. Sage Payroll, VIP, PaySpace, or similar)

  • Solid Excel skills

  • Excellent time management and ability to meet strict deadlines

  • Discretion, integrity, and the ability to handle confidential information

  • Good communication and interpersonal skills

  • Ability to work independently and as part of a team
