Payroll Officer / Payroll Administrator (Permanent, In-House)

Overview
We are looking for a detail-oriented and reliable Payroll Officer to manage the company’s end-to-end payroll function in-house. The successful candidate will be responsible for ensuring accurate, compliant, and timely payroll processing while maintaining strict confidentiality and supporting employees with payroll-related queries.
Key Responsibilities
Payroll Processing

Process monthly payroll accurately and on time for all employees

Capture and verify new appointments, terminations, salary changes, allowances, deductions, and bonuses

Maintain accurate employee payroll records

Ensure compliance with BCEA, Labour Relations Act, and company policies
Statutory & Compliance

Calculate and submit statutory deductions (PAYE, UIF, SDL)

Prepare and submit EMP201 and EMP501 reconciliations

Issue IRP5/IT3(a) certificates annually and on termination

Liaise with SARS and other statutory bodies when required
Reporting & Reconciliation

Prepare monthly payroll reports for finance and management

Reconcile payroll to general ledger and resolve discrepancies

Assist with audits by providing payroll documentation and reports
Employee Support

Handle payroll-related queries from employees professionally and confidentially

Explain payslips, deductions, and benefits clearly to staff

Work closely with HR and Finance teams to ensure data accuracy
Systems & Administration

Maintain payroll systems and ensure data integrity

Assist with payroll system updates, testing, and improvements

Ensure compliance with POPIA and confidentiality requirements
Candidate Requirements
Minimum Requirements
-
Relevant qualification in Payroll, Accounting, Finance, or HR
-
Minimum 3 years of payroll work experience

Strong working knowledge of South African payroll legislation
-
Experience with payroll systems (e.g. Sage Payroll, VIP, PaySpace, or similar)

Solid Excel skills
