Reporting to the Procurement Manager
Objective of this role:
Require a highly organised and detail-driven Procurement Assistant to join the Procurement team.
This position is suited to someone who is confident in managing international procurement processes, liaising with suppliers, coordinating with freight agents, and ensuring all import documentation is accurate and compliant with SARS regulations. The successful candidate will play a key role in supporting the procurement process from placing import orders, arranging freight and delivery, and receiving the goods into stock.

Key Responsibilities:
Purchasing & Order Processing:
Raise and process purchase orders with suppliers
Follow up on ETDs (Estimated Time of Departure) and keep internal schedules updated
Maintain clear communication with suppliers regarding order status
Import Documentation & Invoicing:
Receive and review supplier invoices and packing lists
Ensure documents are updated with correct descriptions for customs clearing
Freight & Clearing Coordination:
Manage communication with clearing agents and freight forwarders timeously
Receive and interpret container reports for planning
Provide accurate and prompt clearing instructions
Assist in scheduling deliveries based on container movements
Warehouse & Receiving:
Share packing lists and container details with the warehouse team
Conduct GRVs (Goods Received Vouchers) and stock costing
Ensure internal systems and schedules are updated with received goods
Internal Sales Support:
Process import-related sales orders
Track and support delivery of imported stock for internal use
Filing & Administration:
Maintain accurate and well-organised filing systems (digital and hard copy)
Archive import records according to company requirements
Ad hoc duties (including assisting with product development)

Candidate Requirements
Essential requirements:Matric (Grade 12)
Previous experience in imports, shipping, or procurement administration
Strong understanding of international shipping and customs clearance
Good working knowledge of SARS, customs processes, and clearing documentation (Very important to have this knowledge/experience)
Strong MS Excel proficiency
Strong attention to detail and organisational skills
Great communication skills (verbal and written)
Ability to manage multiple priorities and meet deadlines
Experience with PPE products – advantageous
Skill requirements:
High level of accuracy with data entry and documentation
Ability to work independently and within a team
Excellent time management and planning skills
Problem-solving and strong follow-up capabilities
Strong coordination skills between suppliers and internal departments
Familiarity with import schedules, costing, and GRV processes
Filing and record-keeping proficiency
