Employer: Dis-Chem Pharmacies Limited

Dis-Chem Pharmacies’ in Midrand has an opportunity available for an Operations Analyst Integrated Health to join the Head Office team. The purpose of the role is to support the operational activities and reporting functions related to Healthcare funding, insurance, other financial services and related programmes. Assist with data preparation and analysis, process monitoring, customer service oversight and operational improvement initiatives.

Minimum Requirements…

Essential:

  • Matric or equivalent Senior Certificate.
  • Minimum of 2 – 3 years' experience in an operational support, reporting or coordination role.
  • Diploma or Degree in Commerce, Business Administration, Health Informatics, or related field.

Advantageous: 
  • Experience in Healthcare funding, insurance, other financial services or retail environments.
Job Specification: 

Operational Support:

  • Assist in executing and monitoring day-to-day operations.
  • Support internal coordination with Retail, Dispensary, Clinic and other support teams for operational alignment.
  • Support training coordination and materials for internal stakeholders.
  • Support and monitor in-store lead generation.
  • Track and follow up on deliverables from stakeholders.
  • Maintain operational documentation including SOPs and process flows.
  • Collaborate with stakeholders on systems, processes, and complex queries affecting policyholders to ensure smooth and effective operations.
  • Liaise with stakeholders to ensure ongoing legal compliance and monitor adherence to relevant regulations.
  • Collaborate with stakeholders to ensure optimal product support.
  • Support, monitor and report on retention initiatives.

Data & Reporting:

  • Gather, clean, prepare and ensure the accuracy of data for analysis and reporting.
  • Ensure data accuracy and maintenance of existing dashboards and reports.
  • Generate scheduled and ad hoc reports for operational and executive stakeholders.
  • Assist with identifying data anomalies, trends and areas for improvement.

Customer Experience & Query Resolution:

  • Coordinate with external stakeholders to ensure that internal stakeholders have the right knowledge and skills to deal with queries.
  • Liaise with and monitor stakeholders to ensure process adherence and service standards.
  • Monitor and report on trends related to queries and complaints.
  • Monitor, manage and report on escalated queries and complaints.
  • Inform relevant stakeholders in the event of a critical incident promptly.

Project & Process Coordination:

  • Provide administrative and analytical support for operational projects.
  • Track project milestones and escalate delays or resource gaps.
  • Contribute to process improvement initiatives and assist in implementing operational changes.
Competencies... 
  • Understanding of operational workflows, customer service, Healthcare funding, insurance and other financial services fundamentals. Understanding of data analysis and management tools, data reporting and analysis techniques.
  • Ability to takes initiative and identify and find solutions to potential issues as well as knowing when to escalate the problem and what level to escalate it to. Ability to identify, collect and organise data for analysis and decision-making. 
  • Establishes and manages long-term relations with stakeholders to achieve goals and deliverables. Exhibits strategic awareness by aligning initiatives with overall organisational goals. 
  • Ability to communicate clearly and professionally with internal and external stakeholders. Conveys ideas and facts in writing using language the reader will best understand.
  • Collaborates well in a cross-functional team environment, building constructive working relationships characterised by a high level of acceptance, cooperation, and mutual respect. Able to handle sensitive customer issues with discretion and empathy.
  • Excellent attention to detail. Recognises the need for procedures and follows relevant procedures. 
  • Highly organised, deadline driven and sticks to commitments. Takes personal responsibility for the quality of work and achieves results with little oversight.
  • Advance Computer Skills – Microsoft Office: Word, Excel, PowerPoint, Outlook and Power BI.
  • Comfortable working with data analysis and management tools, dashboards, and CRM and EMR systems.
