Administration Officer – Immigration

Key Responsibilities
Administrative & Case Support
- Provide administrative support within the Immigration Department
- Manage immigration case files, both electronic and physical, ensuring accuracy and completeness
- Compile, organise, and quality-check application documentation prior to submission
- Maintain internal trackers and monitor application timelines and deadlines
Client & Stakeholder Coordination
- Communicate professionally with clients regarding application requirements and status updates
- Coordinate with internal teams and external stakeholders, including embassies, government departments, and third-party service providers
- Respond to routine client and applicant queries and escalate complex matters appropriately
Compliance & Documentation
- Ensure all documentation aligns with immigration legislation, regulatory requirements, and internal compliance standards
- Support audit readiness through accurate record-keeping and document control
- Assist with follow-ups and confirmations required by authorities
General Office Administration
- Perform general office administration duties as required, including filing, scanning, correspondence, and data capture
- Support reporting, scheduling, and ad-hoc administrative tasks to ensure smooth departmental operations.
Required Skills

- Legal Work: 2 to 3 years
Candidate Requirements
Minimum Requirements
Education
- Matric / Grade 12 (essential)
- Relevant tertiary qualification in Administration, Law, Human Resources, or a related field (advantageous)
- Previous experience in an immigration, visa, legal, HR, or compliance-based administrative role will be advantageous
- Exposure to working with government departments, embassies, or regulatory authorities is beneficial
Skills & Competencies
- Strong administrative, organisational, and time-management skills
- High attention to detail and accuracy
- Ability to manage multiple cases and deadlines simultaneously
- Professional written and verbal communication skills
- Strong confidentiality, ethics, and compliance awareness
