Job Summary
We are looking for a highly organised and proactive Admin & Stock Control Coordinator to manage stock administration, supplier reorders, and daily coordination with the warehouse team.
This role is central to ensuring smooth operations across purchasing, stock availability, warehouse communication, and general office administration. The ideal candidate will be detail-oriented, reliable, and comfortable handling a wide range of ad-hoc operational tasks.
Key Responsibilities
Stock & Purchasing
- Monitor stock levels across systems and internal records
- Prepare and send reorders to suppliers based on stock movement and forecasts
- Track supplier orders, deliveries, backorders, and discrepancies
- Follow up with suppliers on outstanding orders, delays, and missing or incorrect deliveries
- Maintain accurate stock records and pricing information
- Work with management to avoid stockouts and overstocking
Warehouse Coordination
- Communicate daily with the warehouse team regarding incoming deliveries, picking/packing priorities, stock discrepancies, damages, shortages, or issues
- Ensure purchase orders and deliveries are properly booked in
- Help resolve stock and logistics issues quickly and efficiently
Administration & Operations
- Handle ad-hoc administrative tasks including filling in forms, preparing documents, updating spreadsheets and systems, and organising files and records
- Follow up on emails, supplier queries, and internal requests
- Make and receive phone calls to suppliers, warehouse partners, and service providers
- Assist with compliance paperwork, account applications, supplier documentation, and internal reports
Reporting & Control
- Maintain and update stock sheets, order trackers, and supplier lists
- Provide regular updates to management on stock levels, orders in transit, and issues or risks

Candidate Requirements
RequirementsEssential
- Strong organisational and administration skills
- Very good attention to detail
- Confident communicating by email and phone
- Comfortable working with Excel or similar spreadsheet software
- Ability to handle multiple tasks and priorities
- Reliable, proactive, and able to follow up independently
Desirable
- Experience in stock control, purchasing, warehouse or logistics administration
- Experience dealing with suppliers and warehouse teams
- Experience in wholesale, distribution, or e-commerce environments
