Reception Duties:
Answering all incoming calls
Relaying of all messages to the correct person. If not available, message in writing and if urgent, a call as soon as possible. Keep a record of all messages.
Receives all clients/visitors to the Company and determine their needs and direct them accordingly.
Must answer all general enquiries.
Compiling of a Customer list of all clients that call in, in a specific format.
Clerical functions:
Typing of letters, quotations, memorandums, presentations and reports as and when required.
Sending of e-mails.
Make telephone calls to clients and customers.
Setting up teleconferences as and when needed
Filing
Certificate printing and laminating for customer training.
Follow up deliveries to customers via couriers
Obtain POD’s from courier portals for customer deliveries.
General office duties:
Maintaining the office equipment, if problems arise contact the Support Company.
Stationery & Paper Store:
Order timeously, Office supplies from Head Office.
Keep the Stationery store in a neat and organised manner.
Keep a stock sheet of the Stationery and Paper store
Special Task When needed (Sick leave. Holiday, half days etc. of Office and Sales Support staff.):
Orders:
Process customer/SAP orders received by telephone on a daily basis.
Process invoices only after it has been linked to order and POD on a daily basis.
Credit Applications:
Processing of credit applications and opening of new accounts.
Credit applications forms to be checked and sent to Head Office, followed up and customers to be advised once the account has been approved or declined.

Candidate Requirements
MatricReception and Office Assistant/Sales experience
SAP and MS Office
Working Hours: 8:00 – 16:00 Monday to Friday
