Employer: The Caretakers

Management of Site Teams

Site management Quality control and inspections of the site.

·        Site Supervisor role.

·        Manage, inspect, monitor of all and any site supplies & consumables.

·        Identify & implement methods to reduce wastage and improve savings.

·        General oversight of all site consumables & supplies. General Site responsibilities

·        Inspections to sites allocated as per management.

·        Quality control to sites allocated for garden & cleaning services.

·        Reporting on site conditions.

·        Drafting of reports weekly / Monthly as needed.

·        Inspections on communal grounds and exclusive use areas.

·        Managing KPI’s on SLA.

·        Ensuring quality of sites are on standards.

·        Inspection of gardens and general building conditions.

·        Compiling cost estimates on projects.

·        Minor project supervision.

·        Administration and record keeping.

 

Building management

·        Setting up site or online meetings with clients & agents.

·        Joining in on meetings with clients to represent the company.

·        Complaints resolution & handling.

·        Ensuring Scope of work is continuously adhered to on the client’s site.

·        Responding to clients via email, joining in on WhatsApp groups.

·        Inspection & reporting on site condition

·        Communicating with tenants, residents & stakeholders via email.

·        Resolving maintenance related issues through contractors on site.

·        Managing KPI’s of site contractors

·        Managing WhatsApp groups related to property maintenance & operations.

·        Drafting of detailed professional building manager reports.

 

Security

·        Daily monitoring and checking if security fence are in working order, or by method of de-briefing the guard on site.

·        Check & test the functionality of the main access gates on a regular basis and report on such to stakeholders.

·        Informing stakeholders of any security breaches

·        Monitoring daily sign in and out of security personnel.

·        OB book inspections on a daily basis, reporting to stakeholders on findings.

·        Testing of response time for armed response teams once monthly at random times.

·        Monitoring and managing security camera system on site.

·        Procurement, vetting and appointing of security installations & repairs specialists when needed on approval of stakeholders.

·        Monthly meetings with security manager to brief and assess security measures.

·        Engaging with security to assist with enforcing conduct rules of estate.

 

Garden & Grounds

·        Controlling and managing of Groundskeepers on site.

·        Quality control measures and KPI’s manage for gardening personnel.

·        Preventative and seasonal garden maintenance management and monitoring of service provider.

·        Procurement, vetting and appointing of reputable landscapers to tend to upgrade on approval of stakeholders.

 

Handyman duties

·        Procurement, Vetting and appointing of reputable contractors on approval of stakeholders to tend to maintenance repairs.

·        Basic handyman duties Installation of light bulbs on communal grounds It will not include projects, carpentry or any specialized labour functions.

 

Cleaning

·        Managing of service level agreements KPI’s

·        Inspections of site cleaning

·        Meeting with cleaning contractor when needed to discuss concerns & resolve KPI concerns.

 

Administration duties

·        Sending and receiving emails to and from residents & stakeholders.

·        Run a detailed petty cash in & out with recon system.

·        Administrative security duties as required by the stakeholders.

·        Weekly, monthly & annual reports as the stakeholders might request.

·        Handling of routine complaints of the residents

·        Sending of warnings, notices & fine letters to tenants & residents.

·        Management of conduct rules & policies with support of managing agent & stakeholders.

·        Housekeeping duties of office on site

·        Issuing of welcome packs & conduct rules to new tenants.

After hours emergency appointment of service providers. 


Required Skills

  • Facilities Management: 3 to 4 years
  • Building Management: 5 to 6 years

Candidate Requirements

Grade 12

Computer Literate

Building Manager experience

Facilities management experience

Handyman experience

Well spoken
