The incumbent is responsible for ensuring that the right number of employees with the right skills are available at the right times to meet production demands efficiently. The role requires the incumbent to be responsible for employee covers, while managing all leave and training replacements.
Core Job Responsibilities:
· Demand Forecasting: Utilize available historical data trends, market trends, and business projections to forecast future workforce requirements and plan accordingly.
· Capacity Planning: Determine the optimal number of employees needed to meet production targets, service levels, or project deadlines.
· Strategic Planning: Collaborate with department heads and senior management accordingly to align workforce planning strategies and organizational targets, goals and objectives.
- Develop various staffing scenarios to assess the impact of changes in demand, budget constraints, or other factors on workforce requirements.
· Resource Allocation: Allocate human resources across different departments, shifts, or locations to ensure adequate coverage while minimizing costs and ensuring that the best trained resources are allocated based on their skills.
· Monitoring Performance: Track employee’s key performance indicators (KPIs) related to workforce productivity, efficiency, and utilization of employees.
· Schedule Optimization: Create and maintain employee schedules that balance workload requirements with employee preferences, labour laws, contractual obligations, while maintaining overtime as regulated by the Department of Labour.
· Continuous Improvement Initiatives: Identifying opportunities for process and progress optimization and efficiency gains in workforce planning and scheduling processes.
· Communication: Ensure to effectively communicate workforce plans, schedules, and performance metrics to stakeholders (Senior Managers, HOD’s), at all levels of the organization.
· Problem solving: Must be able to solve problems and get to the root cause.
· Strong collaborator: Ensure that you can work independently with minimal supervision and coordination across dynamic and multi-cultural teams.

Candidate Requirements
Qualifications and skills:
· Grade 12 - Matric.
· National Diploma in human resources, business administration, health and safety or an equivalent qualification.
· At least 2 years’ proven experience in workforce planning, capacity planning, or related fields.
· Strong analytical skills with proficiency in statistical analysis and forecasting techniques.
· Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
· Proficiency in workforce management software (where applicable), spreadsheet applications, and other relevant data collection tools.
· Knowledge of labour laws and regulations.
· Knowledge of industry best practices in workforce planning and scheduling.
Attention to detail and ability to work under pressure in a fast-paced environment
