- Introduction:
- In order to ensure that the Company’s products conform to the laid down quality standards, the storage and cold storage facilities in the depot are to be maintained in good order at all times.
- Monitors stock levels in line with monthly sales budgets.
- Orders stock requirements in line with sales budgets and minimum stock levels.
- Advises the Managing Director of surpluses/shortages and/or anticipated surpluses/shortages in the distribution centre.
- Withdraws redundant and/or substandard stock as advised by the Quality Assurance Manager.
- Submits seed samples for routine testing as per quality control schedule.
- Assumes responsibility for the bi-annual stock take in the Distribution centre.
- Performs monthly adhoc stock checks and reports deviations to the Managing Director.
- Ensures that the visual appearance of stock conforms to the Company’s corporate identity specifications at all times and refers any deviations to the Quality Assurance Manager.
- Plans the daily/weekly/monthly delivery schedule.
- Ensures that orders are processed in time to meet the daily delivery schedules.
- Monitors that vehicles are loaded according to the customer delivery schedule.
- Monitors outstanding picking slips on a daily basis.
- Advises Sales Representatives/Customers in the event of orders not being able to be delivered according to the customers requirements.
- Adhoc check on quality and correctness of orders.
- Ensures that delivery vehicles are clean, serviced regularly and maintained in a good condition.
- Monitors return of POD’s.
- Ensures that credits are passed for all returns.
- Reconciles COD’s and ensures that COD register is up to date.
- Monitors despatch of seasonal returns to the National Warehouse.
- Checks daily GI’s validates costings and authorize for capturing.
- Checks daily exception sales reports and inform RSM/rep of exceptions.
- Checks daily GI audit reports and correct any incorrect receipts.
- Authorizes weekly wage cards and overtime.
- Monitors cash sales and receipts of COD monies and arranges banking on a daily basis or as the situation may require.
- Ensures that petty cash schedule is completed, all supporting documentation is attached and forwarded to the HO Administration Dept as required.
- Ensures that all company assets in the depot are secured and maintained in good working order, and that all security systems in and around the premises are in place.
- Ensures that the depot premises are in a good state of repair and properly maintained at all times.
- Forwards creditors invoices to Epping for payment.
- Prepares an expense budget on an annual basis and submits to Managing Director for approval.
- Ensures that expenses are in line with monthly/annual expense budgets.
- Enforces general staff discipline in line with Company policy and Labour Legislation.
- Conducts monthly staff meetings and submits minutes to the Managing Director.
- Identifies staff training needs and develops/conducts a suitable training program in conjunction with the HR Business Partner.
- Responsible for the implementation and maintenance of all requirements relating to the Occupational Health and Safety Act.
- A National Senior Certificate (Matric, NQF level 4) (essential).
- 8 years in warehousing & distribution in the industry.
- Driver's license (Code 8)
