Position Overview: Rental Portfolio Specialist plays a key role in providing office and agent support. The appointed person will be working under instruction but the ability to be self-motivated, use initiative and work independently is essential. Must familiarize herself with the company's strategic goals and aspirations to ensure that targets and goals are met. Qualities such as management skills and business acumen will be an advantage as the incumbent should show a level of responsibility. Job description is a broad definition and includes but not limited to the following:
General Duties
- • All duties related to Rental portfolio as per KPA
- • Rental and WeConnectU software – keep up to date daily
- • To assist with the day-to-day running’s of an Estate agency office.
- • Capturing of data on our systems and relevant uploading and filling on WeConnectU and one drive.
- • Liaising with all parties such as Landlords, Tenants, Agents, Directors, Trustees, Attorneys, debt collectors, members of BC or HOA and other departments relevant to lease agreements.
- • Ensuring all compliant paperwork is in place, system is updated.
- • Communication emails, telephone calls and sms’ to owners and tenants.
- • Vetting of all new rental applications (ITC & Voca)
- Maintain utilities, payments, municipal follow-ups.
- Draft leases & addendums, file mandates, FICA & POPI compliance
- • Ensuring the capturing & billing for rent rolls, levies, municipal charges, water & electricity
- • Handling Insurance claims
- • Screening telephone calls, enquiries/requests, and handling when/where appropriate any inquiries, complaints or on renewals.
- • Basic accounting when necessary
- • Uploading payments and invoicing for relevant landlords, tenants
- • Good communication skills (written and verbal)
- • Knowledge of POPI and the PPRA
- • Work under a pressurized environment and meeting deadlines
- • Rental duties to assist the Director and agents
- Support & Daily responsibilities
- Ensuring all compliant paperwork is in place, system is updated, and all paperwork is uploaded to WeConnect U & One Drive
- Oversee and maintain data on our systems on WeConnect U
- To assist with any agent inquiries or queries regarding rentals.
