A reputable company based in Pomona requires a Receptionist
DUTIES:
Reception and Switchboard
- Reception – Receive visitors to the company in a friendly and professional manner
- Switchboard – Answer and attend to all calls in a clear, friendly and professional manner
- Transfer calls to the requested extension or direct the call to the correct person.
- Take accurate messages and ensure that all messages are conveyed to the relevant staff members immediately for necessary action
Social Media and internet
- Managing and upkeep of the Company website.
- Managing and placement of social media posts on different Company platforms.
- Monitoring the Company WhatsApp line and redirecting messages internally to relevant staff
Customer Engagement
- Contact dormant customers. Send out company profiles to customers where needed. Pass on leads to the correct internal sales manager.
Office Administration
- Buy soft products for the company (stationery, refreshments, etc.).
- Management of cleaning staff.
- Ensure that cleaning schedule is followed by cleaning staff.
- Ensure maintenance on the inside and outside of the building is clean.
- Arranging and management of Office Functions.
- Ensure that visitors to the business have been offered and served refreshments.
- Managing the staff refreshments “shop”.
General
- Ensure that the Info email is monitored and emails are distributed to the relevant staff
- Managing of Internal communications (birthdays, welcoming of new staff, staff comms etc )
Candidate Requirements
REQUIREMENTS:
- Grade 12
- Full Computer Literacy
- Previous experience in Office Administrator (Advantageous)
- Previous experience with managing social media posts
- Previous experience in website management (Advantageous)
- Basic understanding and knowledge of the operations of a corporate company and reporting lines. Basic knowledge of WORD, EXCEL and E-MAIL packages with basic typing skills
- Excellent Listening skills and ability to transfer calls accurately all the time
- Full understanding of the organogram of the company to ensure that customers are directed to the correct person for the first time
- Full understanding of managing a main switchboard
- Understanding of social media and what is required to place the correct social media posts
- Understand how to interact and communicate with customers
- Professional & well-groomed
- High level of integrity and confidentiality
- Excellent communication skills
- Diligent with attention to detail
- Driven, confident, self-motivated and results orientated
- Displays a strong customer service ethic
- Good command of the English language
