Estate Agent Administrator and PA (JB5712)

A well-established real estate agency is seeking a professional and detail-oriented Estate Agent Administrator / PA to provide full administrative and personal-assistant support to its team of property agents and management. The role is ideal for a highly organised individual who thrives in a busy office environment and enjoys working with people
You will be responsible for managing listings, preparing documentation, coordinating appointments, assisting with marketing activities, and ensuring the smooth day-to-day running of the office. This includes supporting agents with client follow-ups, property listing uploads, compliance paperwork, and social media updates. The position requires someone dependable, efficient, and confident in handling confidential information while maintaining a friendly and professional approach toward clients and colleagues alike
Minimum Requirements:
Must reside near Honeydew, Radiokop, or Randburg with own reliable transport (Not negotiable)
Matric (Grade 12)
A tertiary qualification or certificate in Office Administration, Business Management, or Property Administration advantageous
Minimum 2 years’ experience in an administrative or PA role (preferably within the real estate or property industry)
Strong working knowledge of Property Management Systems and Microsoft Office (Word, Excel, Outlook)
Excellent communication, organisational, and interpersonal skills
Confident managing multiple responsibilities and working in a fast-paced environment
Ability to handle confidential information and always maintain professionalism
Strong attention to detail and commitment to accuracy
Effective social media marketing skills (Facebook, Instagram, etc.)
Punctual, disciplined, and well presented
Duties and Responsibilities:
Office & Reception Management
Manage reception, incoming calls, emails, and walk-in clients
Oversee office presentation, equipment, supplies, and contractors
Maintain a professional and welcoming front office environment
Ensure management and agents are fully supported administratively
Listings & Marketing
Maintain and update property listings, window displays, and online portals
Prepare marketing content, flyers, and social media posts for new listings
Collaborate with agents on mandates, Offer to Purchase documentation, and marketing activities
Coordinate show days and ensure all promotional material is accurate and up to date
Sales & Rentals Support
Assist with compiling and submitting monthly reports (sales and rental performance)
Liaise with attorneys, buyers, sellers, and referral partners
Ensure compliance with internal deadlines and operational requirements
Maintain accurate and organised filing systems for all property documentation
Personal Assistant Support
Provide PA support to management, including scheduling appointments, diary management, and general correspondence
Draft and prepare letters, contracts, and reports as required
Maintain confidentiality and professionalism in all matters
Ensure office presence during working hours and assist with ad hoc tasks as needed
