Executive Assistant

Director and leadership team.
The Role
This is more than a traditional EA role. You will act as a trusted partner to the leadership team — managing schedules, communications, and logistics while anticipating needs, streamlining priorities, and supporting strategic initiatives. You’ll ensure the leadership team can focus on what matters most, making a real impact on the company’s growth and success.
Key Responsibilities
1. Email, Schedules & Calendars
• Coordinate and manage the daily schedules of the MD and leadership team, ensuring all meetings, appointments, and deadlines are seamlessly organised.
• Act as the gatekeeper for the leadership team, balancing priorities and commitments effectively.
• Manage incoming emails — filtering between action, informational, and junk — with a goal of responding directly to 50% of actionable correspondence.
• Anticipate the MD’s needs and proactively flag conflicts, priorities, and opportunities.
2. Communication & Correspondence
• Draft, review, and manage all forms of communication on behalf of the leadership team, including emails, reports, and presentations.
• Serve as the main point of contact for internal and external communications, ensuring prompt, professional, and effective responses.
• Facilitate communication between the leadership team and other departments, ensuring alignment and clarity.
3. Administrative & Strategic Support
• Provide comprehensive administrative support including document preparation, data entry, and file management.
• Handle confidential and sensitive information with absolute discretion.
• Prepare briefing packs, summaries, and presentations to ensure leadership are fully informed for meetings and decisions.
• Support strategic projects and track actions and deadlines arising from leadership meetings.
• Identify opportunities to improve systems, workflows, and processes across the organisation.
4. Travel & Meeting Arrangements
• Organise and manage all travel logistics — flights, accommodation, itineraries — for the leadership team.
• Prepare detailed meeting agendas and materials, ensuring participants are fully briefed.
• Coordinate logistics for internal and external meetings, including venue bookings, catering, and technology setup.

• Exceptional written and verbal communication skills.
• Able to manage multiple priorities in a fast-paced environment, switching seamlessly between detail and big-picture thinking.
• Confident handling confidential information with discretion and professionalism.
• Tech-savvy, with experience using CRM, project management tools, and data dashboards.
• Previous experience supporting senior leadership or C-suite executives preferred.
