Purpose of Role:

Assist the Sales Representative and Key Accounts Manager to prioritise, plan, schedule and manage the production process by directing the production team and coordinating all production activities, such as orders, pricing, sourcing of products, quality control etc. to meet customers' needs.

Duties:

• Assist the Sales representative and Key Accounts Manager to manage and coordinate the respective POD’s Production Assistants that:
• Quotations are prepared and sent to customers, as and when required, on behalf of Sales team members.
• Ensure quotations are verified and checked to ensure that costing calculated has included the required costing related to labour, courier services, special requests etc.
• Process Purchase orders to the suppliers on the system with the relevant artwork and deadline.
• The team has liaised with the suppliers and the customers to ensure that artwork layouts have been finalised and approved.
• Required follow-ups have been done with suppliers to ensure that the deadlines are met to deliver goods to customers.
• Warehouse have received required communication in respect of goods in transit.
• Customers and the Sales team members are kept updated with progress on orders.
• All jobs have been closed on the systems (Mondays and Order Easy) on completed.
• The liaison between the Production Administrators and the Warehouse team if it is a big order which requires specific packing or distribution.
• Assist with keeping track of the Production teams’ activities and confirm with the team that all details related to an order is captured and perform daily follow-ups with the team to ensure that goods are delivered to customer as per deadline.
• Assist the Sales Representative and Key Accounts Manager to liaise and manage the relationship with:
• the Warehouse to ensure delivery of goods to the customer.
• customers and ensure all complaints and queries are addressed or escalated within required timeframe.
• Provide feedback and inputs to the Sales Representative and Key Accounts Manager on:
• The performance of the Production Coordinator’s team members.
• On development areas, providing on-the-job training, and recommend formal training where required.
• Assist the Sales Representative and Key Account Manager to create a conducive working environment that promotes teamwork, performance, and innovation.
• Provide training to new employees and/or to current employees on various systems and processes i.e., M-Trac etc.
• Facilitate supplier training of employees by coordinating sessions with suppliers to provide training / information to employees on new offerings, supplier processes etc.
• Provide training to employees when processes change on systems
• Attend to web leads, email and WhatsApp enquiries directly or direct the enquiry to the responsible person and/or brief the sales team.
• Review the weekly and monthly report regarding leads and provide same to senior management.
• Make recommendations for the improvement of the production processes continuously
