Job Purpose:
Responsible for managing all aspects of payroll processing and ensuring compliance with labor laws and company policies. This role also involves supporting various HR functions, including employee onboarding, record keeping, and benefits administration.
Job Specification & Key Responsibilities
Payroll Processing:
§ Handle payroll functions accurately and efficiently, ensuring timely processing and adherence to regulatory requirements.
§ Prepare, capture and process the monthly payroll input (new engagements, terminations, loans, increases, Subsistence allowance, incentives, overtime, travel allowance, garnishee orders, traffic fines, Fleet spend, standby allowance, etc) within the agreed timelines and in accordance with the policies.
§ Communicating the monthly deadline to all relevant stakeholders.
§ Managing leave system (Reports of sick, annual, study, unpaid leave, and maternity leave on Sage Cloud Payroll Professional ).
§ Checking overtime hours (accuracy and ensuring that they are updated correctly on the system)
§ Checking the fixed-term contract renewal dates and communicating the dates to Line Managers & Team Leaders for renewal & to update the status of the contract.
§ Processing salary increases, and calculation of back pay when needed.
§ Develop an in-depth understanding of the Payroll Database to be able to create Ad-Hoc reports on demand as well as standard monthly reports.
§ Interaction with employees when attending to all monthly salary queries after payroll for a better explanation of what is on their payslips.
§ Preparing Mock payslips for New Eployees
§ Preparation of employee termination (End of Contract, resignation, dismissal, and death) on termination payouts.
§ Print payslips on Sage when requested by employees.
§ Capture and verify all expense claims against the policy and report non-compliance to the Line Managers.
§ Pull the Variance report and add commentary on all changes that were captured in the current payroll monthly
§ Send out active employee register HR Manager to confirm all active employees before the payroll release salaries.
§ Send out leave report to all line managers
§ SSS access is granted and updated for all employees when required.
Employee Records:
§ Maintain and update employee records in Sharepoint, HR System and physical files.
§ Ensure confidentiality and security of employee information.
Recruitment & HR Support:
§ Advertise, Screen & Interview Candidates
§ Conduct Reference, Qualification & Qualification Checks
§ Draft Letter of appointments/Contracts
§ Coordinate new employee onboarding, including orientation and training.
§ Prepare and process new hire paperwork and ensure proper documentation.
§ Support the HR team with employee relations, performance management, and disciplinary actions.
§ Coordinate employee training and development programs.
§ Draft and Issue UIF, Confirmation of employment and Certificate of Service
§ Updating the reporting line in accordance with the company’s organogram.
§Undertake other tasks and responsibilities appropriate to the level of this post as required by the HR Manager

Candidate Requirements
Required Qualifications
§ Matric (Grade 12)
§ National Diploma in Human Resources
Required Experience
§ 3-5 Years Proven experience as a Payroll Officer, HR Officer, or similar role.
§ 2-3 Years’ Experience in HR Administration & General administrative
§2-3 Years’ Experience with an HR/Payroll system (Such as VIP & Sage Payroll)
