As the PM, it is their responsibility to develop various project programs, manage Clients, (Internal and External) and project teams.
Develop project protocols, and generally strive to deliver the project on time, in budget and the desired quality. Ensure that the project
communication chains are maintained throughout the duration of the project. With regards to planning the PM is responsible for the
coordination of the Engineering, Production, Procurement and Logistics departments and the work they undertake for each new vessel being built
To execute work as required and instructed by the Project Manager-HOD. Will be responsible for maintaining project control relating to:
· Project planning
· Risk assessment
· Budget management
· Monitoring of production progress
· Progress reporting to client
· Manage documentation and filing processes
· Project change control
· Commissioning and trials
· Project handover
· Project reviews
To ensure that all efforts in producing a new vessel are synchronized and coordinated from the start to the finish amongst the different
departments. The PM must be able to plan and coordinate the efforts of the different stakeholders, adding to the on-time delivery of
materials and production in Cape Town.
The PM must be able to assess the progress against the Project Milestones and Activity Plans and report on potential bottlenecks and
possible solutions before the problem arises.
By keeping accurate and up to date reports, the PM can at any stage inform the necessary stakeholders of progress against plan, potential.
problems, bottlenecks, and solutions.
- Maintaining the planning system by means of updating activities and the Activity plan.
- Ensuring a revision log can be followed for the integral planning process, Milestone plan and Activity plans.
- Ensure each version of the project is updated and the template is not disturbed if unnecessary.
- Ensure changes and deviations are logged.
Functional Activities:
- Compiling the Integral Project Plan, the Milestone Plan and resulting Activity plans per project
- The Project Manager must draw up an Integral Project Plan per vessel in consultation with the production, procurement, logistics and engineering staff to ensure that it is all encompassing and holistic as such the Planner is responsible for the collection and analysis of the data needed hereto.
- The Project Manager must ensure the accurate analysis of the Integral plan is fed down through the milestone plan and Activity plans to ensure nothing is omitted.
- High quality and feasible Integral Project Plan developed for each vessel.
- Planned work executed according to the schedule.
- Acceptation of the Integral Project Plan by involved stakeholders.
- Inform other stakeholders of activities once scheduled so that they in turn can plan and activate timeous purchases, deliveries, and subcontracting.
- Add critical paths for Production and the Procurement planning of big-ticket items and schedule costs forecasts for finance information.
- Allocate Capacity and Budget for each part of the Plan and the Activity in consultation with other stakeholders.
- On production activities allocate hours and update the hours for each activity and time and cost out capacity requirements.
- Look at dependency of activities and consider possible bottlenecks and problems, capacity and material shortage and record these on progress reports.
- Target finish dates per unit, area and system.
- Accurate and timely update of the Project Plan.
- Correct analysis of potential bottlenecks.
- Monitoring the integral project plan, the milestone plan and activity plans
- By monitoring and adjusting the plans the Project manager can keep all the stakeholders informed as to if the project is on course or where they are experiencing or expecting bottlenecks.
- The Planner can proactively engage with each department as how to find solutions.
- The Planner is responsible for identifying, mapping, and reporting on bottlenecks and the consequences of these and to provide possible solutions for the bottlenecks.
- The Planner is responsible for identifying dependency bottlenecks and for finding ways to ensure these do not hold up production by addressing the issues with the different stakeholders before they occur.
- The successful managing of the project plan results in timeous and correct acceptable plans which can correct bottlenecks before they occur or are able to be managed proactively.
Risk Management:
- Setting up and maintaining management reports which are reported on weekly or fortnightly (depending on which report) and which clearly map out the critical path per project and highlight the bottlenecks.
- Ability to raise, discuss and highlight the problems and progress with the Project Manager, Procurement, Engineering, Logistics and Production stakeholders.
- Be an active member of the team insofar as finding solutions and always progressing the Plan.
- Identify risks and mitigating measures to keep the project in control.
- Verify the risks and mitigating measures with the project team.
Team composition
- Taking instruction from the Project Manager-HOD and executing it as required.
- Keeping track of project progress and that objectives are met within Time, Cost and Quality.
- Management of sub-contractors.
- Set up Navision/ ERP (prima Vera) system to monitor the status of the project.
- Make project organogram, escalation model and definition of roles and responsibilities.
- Project resources are planned, identified and available in time.
- Subcontractor or partnership availability on time and effective.

Quality of work
- Operating, explaining, and working according to company standards.
- Handling the various VTC (variation to contract) claims for specific company products.
- Filing of NCR’s (non-conformance reports).
- Preparing and archiving meeting minutes.
- Preparation and delivery of close out and owner’s manuals.
- Commissioning and trials of company new built vessels.
- Manage relevant documents for handover of vessel.
- Manage key project issues as directed by the Production Manager.
- Customer/ client satisfaction.
- Prevention of claims.
Customer relations:
- Maintain regular contact and with internal and external clients
- Liaising with internal and external Client to define work scopes, co-ordinate projects, provide feedback.
- Representing the company as an Ambassador.
- Manage client by hosting progress meetings.
- Progress meetings are held for the purpose of Client management.
- Communication with parties
- Reporting on progress, providing information on potential project risk (developing and maintaining risk register) & project requirements.
- Maintain professional, accurate customer feedback for each project.
- Liaise with suppliers, colleagues, clients, project team members.
- E-mails, chart planning and progress meetings, presentations.
Ensure project reports are compiled to a high standard, and distributed to the necessary parties within 1 week of the completion of each project.
- For long term projects, ensure agreed regular project reports are compiled to a high standard, and distributed to the necessary parties at the agreed times and intervals.
- All necessary parties are informed on time.
- Communication is accurate, complete and of a high standard.
- Correct and complete reports which are delivered to stakeholders.
- Safety and legal requirements
- Adhering to and ensuring all safety and legal requirements are met and complied with and all certification is achieved as required.
- All personnel including subcontractors adhere to personal and applicable safety standards and enforcing adherence if necessary.
- Ensure each task/ project/ job is planned for and executed and concluded in full compliance of all legislation (e.g. OHASA, SAMSA, IMO, etc) and Classification Society (3rd party) requirements as applicable.
- Implement specific project requirements (if applicable)
- Compliance and sign off for all safety and legal requirements.
- All tasks are completed in full compliance of all regulations and 3rd party requirements.
- Ensure specific project requirements are implemented (if applicable).

Candidate Requirements
Educational level
Diploma / Degree Course in Mechanical, Electrical or Electronic Engineering.
Experience
- Minimum 5 years experience in the marine industry, specifically in a technical field.
- Minimum of 5 years experience in managing technical personnel and projects.
- Must be fully computer literate including being able to use MS Office (Word, Excel, Power Point,etc) and MS Project at an advanced level.
- Certificates, Licenses, Registrations:
- - Code 08 (or EB) driving license.
- - Project management qualification
