MAINTENANCE ADMIN |
Saving reports and inspections |
Verifying reports and inspections |
Saving Water Lab Results |
Ensuring all maintenance reports are saved |
Ensuring all maintenance reports are sent to clients end of each month |
SALES SUPPORT |
General communication and updates |
Unpacking Initial Site survey into presentation |
Preparing proposals (using municipal statements, excel templates and powerpoint) |
Contract Preparation (and automation using panda docs) |
Client onboarding (On various google sheets) |
PROJECT MANAGEMENT SUPPORT |
Assisting project manager with various tasks |
Booking contractors and ensuring work is carried out |
Project sheet managmeent |
General Admin |
INSURANCE |
Quotations and price negotiation |
Claims |
FLEET |
Spot Checks on drivers/team - CarTrack |
Ensuring all vehicles are being tracked |
Pricing for tracking devices |
Car Servicing |
Car Licensing |
Dealing with car related issues |
Ensuring all old and new vehicles are branded |
OFFICE MANAGEMENT |
Ensuring coffee/tea is stocked up |
Ensuring popcorn is made daily and is cleaned |
Printer Ink and Paper |
Ordering supplies |
Office Security related (cameras, keys) |
Computer related matters |
Ordering and management of staff overalls/clothing |
MONITORING AND DISPATCH |
Full Monitoring and Dispatch on certain days (to relieve Dispatch manager) |
Dispatch Sheet Management |
Carrying out the full process per Monitoring and Dispatch Process |
WATER USE LICENSE MANAGEMENT |
Coordinating WULA with consultants |
Negotiating pricing |
Liasing with contractor and project team |
Liasing with client |
(OPTIONAL - DEPENDING ON SKILL LEVEL) HR MANAGEMENT |
Onboarding - admin |
Onboarding - meeting to discuss policy, driver policy, etc |
Disciplinary action and meetings |
Contract preparation |
