PURPOSE OF THE POSITION
The Portfolio Administrator is responsible for the accurate and timely implementation of stakeholder requests. Basic responsibilities include aiding owners within Schemes and APS' management with insurance, maintenance and the drafting and distribution of communication. The Portfolio Administrator will resolve, escalate or allocate email and telephonic queries related to the department as appropriate while complying with the RCP.
SCOPE
The Portfolio Administrator reports to the Administrative Manager, and is responsible for administration and query resolution, as well as the record keeping, archiving and filing for these actions. These responsibilities include liaising with different stakeholders including owners, tenants, contractors, councils, colleagues and management.
RESPONSIBITIES
Receiving meeting notification
Completing a deed search to verify ownership within building
Updating minute books following a meeting Completing any actions from meeting- sending out adjourned notice, distribution of minutes
Scanning related and approved documents onto system, Drive and AOL
Receiving maintenance queries from owners/ trustees/ directors
Obtaining maintenance quotes where applicable
Obtaining approval from relevant stakeholders Instructing contractor to commence work as per quote and approval
Following up on completion of job with contractor and relevant stakeholder
Forwarding invoice for payment where applicable
Adhering to company policy and redirecting owner to AOL for the submission of an insurance claim
Updating System with the latest insurance policy and ensuring that cover and excess amounts are correct
Obtaining approval where applicable on matters relating to common property
Assist with obtaining quotations of relevant resultant damage claims
PageArranging for archiving to be sent to/ collecting from Iron Mountain in conjunction with Logistics Team
Receiving requests to check ‘faulty’ water/ electricity metersBC
Communicating with owner with regards to payment of invoice, pending determination
Adhering to an instruction relating to the drafting/ approval process and distribution of owner communication
Any duty/ task reasonably assigned by managemen

- Knowledge of Sectional Titles Act

- Ability to meet turn-around times and grasp the effects and repercussions of his/ her actions on other departments
