The Role
Assistant Journey Managers are responsible for implementing existing plans crafted by more senior team members (Senior Journey Managers) while also demonstrating the capability to independently manage less complex projects. The role requires excellent communication and organizational skills, as well as the ability to ask probing questions and maintain up-to-date files.
Responsibilities
Programme Overview:
- Attend and participate in programme kick-off meetings to ensure alignment on expectations
- Become familiar with the programme outcomes and key milestones
- Understand the roles and responsibilities (of all team members involved)
- Understands measures of success (ask good questions)
Programme Roll-Out Plan:
- Review the Programme Roll-Out Plan
- Understand the Programme Roll-Out approach, deliverables, and milestone dates
- Follow up on status of tasks due by delivery team
- Maintain and update status of Programme Roll-Out Plan
Programme (Status Update) Meetings:
- Co-ordinate status update meetings with internal BTS teams
- Document and circulate agreed decision points and action plans
- Document and Folder Management
- Create and maintain the folder hierarchy on Box (cloud-based platform)
- Archive old versions of documents
- Ensure all final approved version of documents are filed and saved as final
Programme Roll-Out Deliverables (as agreed per journey and documented in the plan)
Pre-session (workshop) activities:
- confirm that the Programme Roll-Out activities are complete and update the plan
- Confirm resources have been booked and scheduled
- Resource alignment session has been scheduled
- Ensure delegate list has been received and is uploaded onto Box
- Confirm diary blockers have been sent out by client
- Confirm register has been created
- Generate Zoom/MS Teams meeting links and check diary blocker is updated
- Ensure post-session feedback QR code/link has been created and share with facilitator
- Execute communication plan
- Ensure participant assignments have been scheduled on the system
Post-session (workshop) activities:
- Ensure attendance register is shared with client
- Request completion of all SLA related documentation as required by client
- Ensure participant feedback report is complete
- Follow up on participant assignment status and create report
- Co-ordinate and provide input into closeout report
- Mailbox management
- Review and manage delegate mailbox and flag requests (where applicable)
Qualifications/ Requirements
- Project Management diploma or short courses (beneficial but not required)
- Proven administrative and/or programme/project coordination experience (could include event planning experience)
- Highly organized, analytical, and capable of working on multiple programmes simultaneously, with strong attention to detail
- Exceptional verbal and written communication skills, adept at proactively and effectively engaging with high-profile clients and collaborating with internal teams
- Exceptional self-management abilities through effective prioritization of programme tasks based on urgency and importance, as we foster a culture of freedom within a framework
- Ability to work independently while also possessing a strong sense of teamwork
- Approaches challenges with a growth mindset while driving continuous improvement
- Capable of thinking quickly and acting decisively, while also demonstrating strong critical thinking skills for effective problem solving
- Proficient in gathering and analyzing data, with the ability to generate comprehensive reports
- Digital savviness, ideally with experience using Zoom, Microsoft Teams, Slack, Smartsheet, and Salesforce
- Experience using Microsoft Office Suite is required (Outlook, Excel, Word, and PowerPoint)
