Managed Talent Solutions is looking for a Portfolia Administrator for their client. The required candidate would need to present abilities and experience in financial processing as well as having excellent interpersonal skills, as working within a bigger delivery team is key to the success of the role. The Portfolio Administrator will be responsible for assisting the portfolio delivery team with key tasks and activities pertaining to portfolio finance, governance and compliance and resource management. 

Required Experience:

  • Project Management certification – Prince II Foundation
  • +5 years’ experience in a global IT environment
  • SAP experience



Key tasks:

  • Maintaining and monitoring overall programme, project schedules, work hours, budgets and expenditures.
  • Organizing, attending, and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensuring project deadlines are met.
  • Determining project changes.
  • Providing administrative support as needed.
  • Undertaking project tasks as required.
  • Developing project strategies.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed towards the best solution.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Identify, analyse and manage IM integration requirements / opportunities
  • Accurately track and report progress to the Senior stakeholders
  • PMO governance on site which includes tailoring of projects

Capabilities:

Good Financial background of general accounting principals

  • Good communication skills
  • Interpersonal effectiveness: cross-cultural, cross-level
  • Self-driven and hardworking, get things done.
  • Excellent documentation control
  • Excellent coordination/follow up on project admin functions.
  • Manage invoicing with vendors and submit for GPS processing.
  • Assist with Timesheet System maintenance, weekly timesheet signoffs, month end closure, working with GPS.
  • Assist Project Manager with all financial support required across Project financials and recoveries.
  • Book all travel required including managing cost recovery.
  • Creation of new projects in Empower portfolio management tool.
  • Maintain project documentation as required.
  • Book vehicles for project team when required.
  • Arrange team building activities when required.
  • Order PPE when required.
  • Create Cognibox tasks for contractors.
  • Assist with Contractor onboarding.
